POSITION SUMMARY
The Finance Manager is responsible for overseeing all financial operations of the Academy, with a primary focus on member collections, scholarship administration, player account management, and team fund accounting. This role requires strong nonprofit financial management experience, excellent communication skills for working with regional directors and families, and the ability to implement efficient processes that support the Academy's mission of youth soccer development.

Collections Management
- Lead all accounts receivable collection efforts beginning July 1st when competitive registration payment plans commence
- Proactively engage with Regional Directors immediately upon payment plan initiation to reduce overdue accounts
- Establish and maintain systematic follow-up processes with families on delinquent accounts
- Monitor Days Sales Outstanding (DSO) and implement strategies to reduce collection cycle times
- Generate weekly accounts receivable aging reports and communicate status to leadership
- Develop escalation procedures for chronic non-payment situations
Scholarship & Financial Aid Administration
- Assess and calculate financial aid awards using the Academy's predetermined formula and annual budget allocation
- Maintain accurate records of all scholarship recipients and award amounts
- Adjust payment plans as needed prior to competitive tryouts each season
- Monitor scholarship budget utilization and provide regular reporting to leadership
- Ensure compliance with nonprofit financial aid documentation requirements
Player Account Management
- Process player transfers between teams and programs, adjusting fees accordingly
- Calculate fee adjustments (increases or decreases) based on program changes
- Maintain accurate player financial records across all Academy programs
- Coordinate with registration staff to ensure seamless financial transitions
Team Account Oversight
- Oversee team account collections and fund disbursements
- Transfer funds from Team Accounts to Club Account following club purchases (showcase entry fees, equipment, etc.)
- Coordinate with Team Account Manager on day-to-day transactions
- Maintain accurate reconciliation between team and club accounts
- Provide high-level financial oversight of all team fund activities
Financial Operations & Reporting
- Prepare and maintain rolling cash flow forecasts; revise weekly to improve accuracy and ensure the organization never faces liquidity issues
- Establish and complete daily bank reconciliations with internet banking access to maintain accurate cash positions
- Review all current payables and conduct full-year vendor ledger reviews to understand nature, amount, and timing of payments
- Monitor and manage capital expenditures; identify critical short-term items vs. those that can be deferred
- Review all contracts in detail to identify hidden liabilities, unexpected obligations, or potential issues
- Generate monthly financial statements and issue to leadership team
- Create and distribute weekly flash reports itemizing latest expectations for total financial results
- Support annual audit preparation and respond to auditors' management letter findings
- Review and maintain insurance policies; coordinate with legal counsel on coverage assessments as needed
Payroll Administration
- Process monthly payroll accurately and on schedule for all Academy employees and contractors
- Maintain employee payroll records, including direct deposit authorizations and tax withholding forms
- Ensure timely remittance of payroll taxes (federal, state, and local) and compliance with all tax reporting requirements
- Coordinate with coaching directors on contractor payments and 1099 reporting
- Reconcile payroll accounts monthly and resolve any discrepancies promptly
- Prepare and distribute annual W-2s and 1099s within required deadlines
Metrics & Performance Measurement
- Establish and maintain key financial metrics on multi-month trend lines to identify performance issues early
- Track Days Sales Outstanding (DSO), Days Payables Outstanding (DPO), and Cash Conversion Cycle
- Monitor liquidity ratios including Current Ratio and Quick Ratio
- Calculate and report gross and operating margins, breakeven points, and margin of safety
- Develop performance measurements linked to organizational strategy and goals
- Present monthly dashboard of KPIs to leadership with variance analysis and recommendations
Controls & Risk Management
- Construct and maintain reliable internal control systems across all financial processes
- Identify, assess, and mitigate organizational financial risks; determine materiality and likelihood of occurrence
- Maintain and enforce financial policies and procedures
- Review control weaknesses identified by auditors and implement corrective actions
- Maintain proper document retention systems for audit compliance
- Monitor key risk areas including key personnel succession, vendor/partner dependencies, and regulatory compliance
Budgeting & Strategic Planning
- Lead the annual budgeting process in coordination with leadership and regional directors
- Evaluate budget alignment with organizational strategy and mission
- Review capital expenditure requests and provide financial analysis for approval decisions
- Conduct cost reviews with staff and department managers; develop short and long-term cost reduction plans
- Identify opportunities for operational efficiencies and process improvements
- Evaluate outsourcing possibilities for non-core functions to optimize resources
- Maintain banking relationships and coordinate financing needs as required
Required Qualifications
- Bachelor's degree in Accounting, Finance, Business Administration, or related field
- Minimum 3-5 years of financial management experience, preferably in a nonprofit organization
- Demonstrated experience with nonprofit fund accounting and restricted fund management
- Strong collections and accounts receivable management experience
- Proficiency in accounting software (QuickBooks, Sage, or similar) and Microsoft Excel
- Excellent communication skills with ability to work effectively with diverse stakeholders (families, directors, staff)
- Strong organizational skills and attention to detail
Preferred Qualifications
- Experience in youth sports organization financial management
- Familiarity with membership management platforms (e.g., PlayMetrics, GotSport, Sinc Sports)
- Experience operating within a Youth Soccer or Youth Sports organization structure.
- Knowledge of scholarship/financial aid administration
- CPA certification or progress toward certification
