Job Description

Reports to:  Director of Operations & Programs

Academy Camps is an overnight sports-specific sleepaway experience on the campus of Suffield Academy in Northern Connecticut. We are seeking a dynamic and organized Camp Admin Manager to be a member of our leadership team for Summer 2024. We have a total of three 2-week sessions and a pre-season training for staff that runs from June 14th to August 3rd.

Who we are
Academy Camps is a modern approach to the sports camp experience. We offer 1- and 2-week sessions for Boys & Girls age 10 - 15 interested in lacrosse, basketball, soccer or tennis. Our campers choose one of our four "Academy Sports" and receive 2 intensive training sessions per day with our high-performance coaching staff.

We are a dedicated team of high performance coaches, nurturing & exemplary counselors, and experienced camp professionals, passionate about the 'whole athlete'. Outside of sports specific training sessions, AC is distinguished in delivering programming focused on its pillars of Performance, Wellness, Mindset, and Leadership mixed in with a healthy dose of fun through a daily schedule of traditional sleepaway camp activities.

Position
As a member of the AC Leadership Team, the Camp Admin Manager will be responsible for ensuring a smooth operation and exceptional camp results for all campers, staff, and parents. This individual will coordinate, plan, and execute various administrative projects from the Camp Office and will engage primarily with camp staff and parents.  This role requires a combination of strong communication skills, administrative/project-management skills, as well as an emotionally intelligent approach to customer service. 

KEY RESPONSIBILITIES:
PRE-CAMP - 
  • Gather supply lists from all Directors & order all office and activity supplies for the summer
  • Prepare for staff arrivals ensuring forms are collected and important information is gathered
  • Order & prepare staff welcome kits (including staff shirts, orientation packets, nametags, etc.) in collaboration with the Camp Life Director and Residential Director
  • Prepare for, schedule, and manage the Social Security Office visit for international staff
  • Set up & organize Camp Headquarters to ensure smooth operation
ORIENTATION - 
  • Compile camper profiles for each dorm unit and sport unit
  • Prepare for camper arrivals (including registration, technology collection, health center check-in, and overall flow of operation)
  • Manage the OEC Background Check process
DURING CAMP - 
  • Support travel days as a travel chaperone or on-site with camper arrivals
  • Prepare for & plan Camper Birthday celebrations
  • Manage daily elective sign-up process and create daily attendance sheets
  • Manage letters to camp & letters home process
  • Manage camper phone calls home, including scheduling, phone management, and execution of the rotation once per session 
  • Write & issue Daily Huddles for campers and staff
  • Send Daily Huddle (camper version) to parents/caregivers each morning
  • Manage inbound parent phone calls & emails, escalating to the appropriate point of contact on the Leadership team when needed
  • Manage expense reconciliation for all camp expenses
  • Prepare for and coordinate the post-camp clean-up process
GENERAL CAMP LIFE -
  • Apply basic youth development principles in working with campers and staff through communication, relationship development, respect for diversity, involvement, and empowerment of youth
  • Assist in the planning of, and participate as a member of the camp team to deliver and supervise evening programs, special events, and other all-camp activities and camp functions.
  • Prepare for & actively participate in all staff training & meetings 
  • Prepare for, accept feedback, and constructively problem-solve during supervision sessions


Your Knowledge, Skills, and Abilities
  • 3+ years experience in a professional setting (in an administrative or project-based capacity, preferred)
  • A creative problem-solver with a keen attention to detail
  • Proficient in project management concepts and tools
  • Self-motivated, strong organizational skills and demonstrated ability to juggle multiple priorities at once
  • Empathetic approach to customer service and parent communication
  • An excellent relationship builder - quick to connect, build trust, and rapport
  • A creative problem-solver - proactive, anticipates problems, and asks for help when needed
  • A growth mindset - an orientation towards learning and development; willing to receive and implement feedback and learn from mistakes

Expectations, Compensation, and Benefits
  • Available before camp for onboarding to pre-camp projects: May 1 - June 14 (remote, part-time, & flexible hours)
  • Available and on-site for full summer season including staff orientation and post-camp:
    • Staff Orientation: June 14 - 22
    • Session 1: June 23 - July 5
    • Session 2: July 6 - 19
    • Session 3: July 20 - August 2
    • Post-camp: August 2 - 3
  • The AC compensation package is competitive and is commensurate with skills and experience. Compensation for a full summer commitment is $5,000 - 7,000, includes room and board (with the option to commute daily), includes paid time off, and offers the opportunity to grow with Academy Camps as our presence expands regionally and nationally.
  • Reside on campus (room and board included) - you will stay in a room in a staff-only dorm.
