SUMMARY
As Inventory Coordinator you will work alongside the Account & Event Teams to create order lists, pack, unpack and generally prep any materials needed for Volo events. This job requires manual labor including but not limited to lifting heavy objects (up to 50 pounds), unpacking high volumes of deliveries, counting inventory and more. Management of the Volo storage space on a weekly (and likely daily in high season) basis is the objective of this job; therefore, you are expected to be present and working at the space 3-5 days/week depending on organizational and event needs.
This job is seasonal part-time non-exempt at 20-30 hours per week from approximately mid-April to mid-September, depending on the needs of the business. Skills we are looking for include a high level of organization and specificity; experience managing store, restaurant or other inventory is preferred.
RESPONSIBILITIES
Inventory
- Maintain a well-organized and efficient inventory system at Volo’s 36th Street storage space, ensuring all items are easily accessible and properly stored.
- Regularly update inventory counts in Sortly (inventory management tool), ensuring accuracy and timely adjustments based on usage, new stock, and disposal.
- Create and maintain inventory order lists, proactively identifying stock needs, and communicating purchase recommendations to the Event teams. Any larger requests can be forwarded to the National Product & Staff Manager
- Oversee the unpacking, assembly, and quality control of event materials, ensuring all items meet company standards before use
- Lead the packing process for events, delegating tasks and managing part-time staff as needed to ensure efficient and organized preparation
- Coordinate with inventory transportation partner to schedule and oversee inventory pick-ups and drop-offs, ensuring timely and secure delivery
- Collaborate with the Account Manager & Account Support to manage the return of any post-event materials that need to be sent back to clients, ensuring proper documentation and tracking.
- Oversee the responsible disposal of outdated, damaged, or excess materials in coordination with the National Staff & Product Manager, adhering to company sustainability policies when applicable.
- Conduct post-event inventory reconciliation, ensuring all items are returned to their designated places, assessing for damage, and flagging worn or missing items for replacement
- Continuously improve inventory management processes, identifying opportunities for increased efficiency and better organization
- Support internal teams by providing timely updates on inventory levels, availability, and any potential supply concerns
Day-of-Event Responsibilities
- Liaise with the Junior Account Coordinator as needed to ensure all items are at the event
- For highly custom events, you may be required to be on-site to support unloading, setup and pack up
Other Work
- As Volo expands their events business to additional cities, you may be asked to support in the setup and organization of new inventory systems to support our growth. This may involve some degree of travel and mentorship of new employees
- Due to the nature of this role, some weeks will be much busier than others. With this in mind, we ask that this person be flexible and open to other kinds of administrative work beyond the inventory role, as Volo needs support throughout the position. Some types of work might include:
- Client deliverable updates (ex. Client decks, layouts, etc.)
- Material printing & pickup
- Game creation (ex. Trivia question creation)
