We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our executive team and help keep day-to-day operations running smoothly. This position is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and can confidently manage multiple priorities at once.
As an Executive Assistant, you will work closely with management, customers, vendors, sales, production, design, and warehouse teams. You will play an important role in coordinating projects, tracking orders, managing communication, and making sure important details don't fall through the cracks.
Key Responsibilities
- Provide administrative and organizational support to company executives and management
- Manage calendars, meetings, appointments, and follow-ups
- Coordinate communication between executives, customers, vendors, and internal departments
- Monitor and follow up on customer inquiries, orders, quotes, approvals, and deadlines
- Help track custom uniform and apparel orders from initial inquiry through production and delivery
- Maintain organized spreadsheets, order information, customer records, and project details
- Assist with preparing quotes, invoices, order documentation, and customer correspondence
- Communicate with vendors regarding product availability, pricing, samples, and order status
- Coordinate with design and production teams to ensure projects remain on schedule
- Identify outstanding tasks and proactively follow up with the appropriate team members
- Help resolve customer service issues and escalate matters to management when needed
- Assist with special projects, events, team stores, and company initiatives
- Handle confidential information with professionalism and discretion
- Provide general office support as needed
What We're Looking For
- 1+ years of experience in an executive assistant, administrative, or similar role
- Exceptional organizational and time-management skills
- Strong attention to detail and ability to catch errors before they become problems
- Excellent written and verbal communication skills
- Ability to manage multiple projects and deadlines simultaneously
- Strong follow-up skills and a proactive approach to getting things done
- Comfortable communicating with customers, vendors, and internal teams
- Proficiency with Microsoft Office, particularly Excel and Outlook
- Ability to learn and navigate multiple software systems
- Professional, dependable, and positive attitude
- Ability to work independently while also being a strong team player
