Job Summary:
The Senior Operations Coordinator plays a pivotal role in supporting the daily functions of the company across departments and will report to the company owner. This position ensures organizational efficiency, maintains strong customer and internal relations, supports HR and legal compliance, and oversees general marketing and event coordination. The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Operations & Administration
· Coordinate with department leads to support and oversee the day-to-day operations, ensuring business functions run smoothly and efficiently.
· Serve as a central point of coordination across all internal departments to align priorities, monitor progress, and ensure deadlines and deliverables are consistently met.
· Analyze existing workflows and operational procedures, identify areas for improvement, and recommend and implement process enhancements to drive efficiency and organizational effectiveness.
Customer Relations
· Manage and maintain the CRM system
· Liaise with account and development teams to ensure client needs are addressed
· Supervise support department operations, including scheduling and client communications.
Marketing Support
· Collaborate with internal departments to ensure timely delivery of marketing materials
· Oversee the creation and production of promotional content
· Research promotional tools and opportunities
· Manage the social media content calendar and coordinate post scheduling
Event Coordination
· Arrange staff travel and prepare travel memos for events
· Organize and lead pre-event informational calls
· Track event-related hours and expenses
· Collect and compile post-event feedback for continuous improvement
HR
· Ensure Legal compliance
· Develop job descriptions for new hires
· Support junior staff in professional development initiatives
· Oversee and coordinate payroll processes
Legal Coordination
· Review and confirm that client contracts are current
· Work in collaboration with legal counsel for contract updates
Qualifications
· Bachelor's degree in business administration, Communications, or a related field (or equivalent experience)
· Minimum of 3 years of relevant professional experience
· Experience in sport's management or related field
· Strong written and verbal communication skills
· Proven ability to meet tight deadlines and manage multiple projects simultaneously
· Excellent organizational skills and keen attention to detail
· Ability to work independently and collaborate across departments
· Professional demeanor with excellent interpersonal skills
· Must be at least 21 years old, possess a valid passport, and maintain a satisfactory driving record
