Event Coordinator
Position Summary

The Event Coordinator plays a key role in planning, organizing, and executing events that reflect the organization’s mission and brand. This position requires exceptional organizational skills, strong communication, and the ability to manage multiple priorities to deliver seamless, high-quality experiences for guests, partners, and staff.

Responsibilities
  • Event Planning & Logistics 
    • Develop and manage event timelines, production schedules, and checklists.
    • Coordinate venues, vendors, permits, and equipment.
    • Oversee travel, accommodations, catering, and related arrangements.
  • On-Site Event Management
    • Supervise event setup, execution, and breakdown.
    • Direct staff, volunteers, and contractors during events.
    • Ensure all operations meet quality, safety, and compliance standards.
  • Collaboration & Communication 
    • Partner with marketing teams to promote events across digital and print platforms.
    • Work closely with sponsorship, ticketing, and community engagement teams.
    • Serve as the primary point of contact for vendors, sponsors, and attendees.
  • Budget & Reporting
    • Prepare and manage event budgets, invoices, and expense reports.
    • Track key metrics, including attendance, revenue, and guest satisfaction.
    • Produce post-event evaluations and recommendations for improvement
Qualifications
  • 2+ years of event planning, project management, or related professional experience.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work evenings, weekends, and holidays as needed.
  • Proficiency in Microsoft Office and event/project management tools (e.g., Asana, Trello, Eventbrite).
