JOB SUMMARY
Highmark Stadium is the home of The Pittsburgh Riverhounds SC a professional men’s soccer team competing in the USL Championship, the second tier of American soccer. The organization also includes the Pittsburgh Riveters SC, a USL W League women’s team launched in 2025, and the nationally recognized Riverhounds Development Academy. All teams operate out of the AHN Montour Sports Complex and the picturesque Highmark Stadium, located in Station Square along Pittsburgh’s iconic skyline. Highmark Stadium is set to expand to 15,000 in the coming years as part of a $125m renovation and expansion project. As Highmark Stadium Events Coordinator, you will report to the Highmark Stadium General Manager and the President. The Events Coordinator will oversee the creation or solicitation, planning, coordination, and execution of events held at Highmark Stadium. You will be a key liaison between clients, internal departments, vendors, and operations teams to ensure seamless event delivery. This role requires hands-on, detail-oriented execution, excellent communication skills, and the ability to work nights and weekends as events demand.
MAJOR DUTIES AND RESPONSIBILITIES
Event Planning & Execution
· Coordinate event operations from pre-planning through post-event wrap, including load-in and load-out, facility readiness, setup, teardown, and clean-up
· Act as primary day-of contact for clients, vendors, and internal teams during events
· Collaborate across stadium departments, including operations, security, guest services, ticketing, facility maintenance, marketing, catering and food & beverage, parking, and transportation, to align event logistics
· Manage third-party vendors such as security, staging, and equipment rentals: sourcing, contracting, coordination, and oversight
Client & Stakeholder Management
· Serve as point of contact for external clients such as private events, concerts, and community partners for event-related questions, updates, and troubleshooting
· Support contract fulfillment, coordinating with legal, sales, and operations teams
· Assist in upsell opportunities or additional services such as premium experiences and hospitality add-ons
Budgeting, Reporting & Process Improvement
· Assist in drafting event budgets, monitor expenses, track revenue, and produce post-event reconciliations
· Prepare post-event reports, debriefs, lessons learned, and client feedback surveys
· Propose improvements to processes, checklists, and workflows to enhance efficiency, safety, and client experience
· Maintain event calendars, internal communications, status updates, and operational checklists
Other
· Participate in stadium special projects or cross-functional initiatives as assigned, such as infrastructure modifications, facility upgrades, and event expansions
· Support the development or execution of signature events such as season kickoff, festivals, and stadium activations
· Occasionally manage interns, volunteers, or part-time event staff
REQUIRED QUALIFICATIONS
· Bachelor’s degree in Sports Management, Event Management, Business Administration, Hospitality, or related field preferred
· 2+ years of experience in event coordination, event sales, or a sports or entertainment environment (or equivalent combination of experience)
· Strong organizational skills with the ability to multitask, prioritize, and manage timelines under pressure
· Excellent written and verbal communication, negotiation, and interpersonal skills
· Experience working with or managing vendors, contracts, sourcing, and logistics
· Proficiency with Microsoft Office (Excel, Word, PowerPoint); experience with event or venue management software is a plus
· Ability to lift moderate loads (25–50 lbs), assist with setup, and climb stairs
· Thrives in team environments with exceptional problem-solving, leadership and strategic thinking skills.
· Demonstrable leadership abilities in changing, ambiguous and challenging situations.
· Strong cross-functional project management and presentation skills.
· Availability to work flexible hours, including evenings, weekends, and holidays as required by the event schedule.
