VA Revolution SC is seeking an organized, highly detail-oriented professional to join in a Club Registrar role. Our Club Registrar will be responsible for supporting all VA Revolution youth soccer programs from an operations perspective including player and staff registration, building programs in our youth platform (Playmetrics) and onboarding new staff and families to the club. The Club Registrar will partner with our Technical staff to support their ongoing game day management and roster needs. Our Club Registrar will engage closely with players’ parents and ensure the player onboarding experience is consistent with the club’s brand.
Key Roles and Responsibilities
Onboard New Youth Travel Families
- New Player Registration - track and acquire key documents from families (i.e. birth certificates, headshots, medical waivers) when new players accept a team offer; maintain central repository of all key documents
- Track and assign uniform numbers to all new players, partner with soccer.com on player profile set up
- Communicate uniform ordering process to all new players, follow-up on missing orders and regularly communicate with soccer.com on inventory delays
- Track all financial aid requests and manage review process internally, communicate decisions with families
Manage All Youth Player Registration with Leagues
- VYSA Registration - create individual player profiles in Got Sport and build all teams in roster builder
- Identify and complete Out-of-State registrations
- Submit all ITC clearance applications for FIFA
- Facilitate Safe Sport completion (all age 18+ players)
- Girls Academy & Aspire Player Registration - create individual player profiles in Got Sport, build team rosters, pay league membership fees and communicate directly with families about roster waivers and Safe Sport requirements; escalate issues to GA Support for resolution
- MLS Next Registrations - create teams for all MLS Next Academy Division (and Homegrown Division, as applicable) in league platform, League Apps. Communicate directly with families about compliance requirements in Ankored. Ensure players are all rostered properly in Kitman Apps platform for game day rosters.
- Ongoing Roster Management - Send offers as requested throughout the season, manage player transfers (releases and transfers in), manage internal player movement, weekly guest player management in PlayMetrics
- Track player monthly payments- reach out to parents/players on late payment status. Coordinate with coaches on marking players ineligible until account is in good standing
Oversee All Staff Onboarding
- Onboard all staff from both VA Revolution Soccer and Loudoun United. Create job postings, monitor applications, send background checks, and track applicants through the recruiting process. Send job offers and complete initial hiring. Ensure employees are compliant with club standards to be on payroll. Verify work authorization
- Ensure staff/coaches that need emails are correctly set up with emails
- Order laptops and work equipment required for necessary positions
- Roster all Team Staff and Team Managers - Work with each team’s staff to complete safe sport, background checks, gather headshots and bios; create staff teams in PlayMetrics and assign staff to their travel teams
- Upload all staff to Got Sport and assign to team rosters
Youth League Management
- National Capital Soccer League Management
- Register teams to NCSL each season
- Manage overall scheduling process including FLEX rescheduling process in partnership with team managers
- Oversee discipline requirements with individual teams (i.e red cards / sit outs)
Club Program Management
- Partner with Technical team leads to deliver the operations component of large scale programs
- Manage all logistics related to assigned programs (i.e. locations / fields, registration, communications, budget and staffing)
- Specific programs to be further defined but could include Tournaments (i.e. Revolution Cup), Futsal Academy, Camps & Clinics, College ID Camps, Strength & Performance and/or GK & Striker Clinics
Qualifications and Skills Required:
- Experience: Minimum of 3-5 years working in a fast-paced, dynamic environment. Start-up environment preferred.
- Administrative Skills: Comfortable with complex logistical scheduling, process management and basic data entry & tracking
- Software Proficiency: Proficient in using registration software (i.e PlayMetrics), team management tools (i.e. Got Sport, League Apps), and Microsoft Office/Google Workspace (i.e. Docs, Sheets, Slides) applications.
- Communication: Exceptional written and verbal communication skills with the ability to effectively interact with players, parents, staff, and external partners.
- Schedule: Hybrid schedule available. Ability to work a flexible schedule, including some evenings and weekends preferred.
