Job Summary
The Club Events Coordinator plays a key role in the planning, coordination, and execution of year-round Club-hosted events and matchday activations. This position works closely with internal departments and external partners to deliver exceptional experiences that reflect the Club’s values and brand. From fan-facing events and partner activations to internal meetings and tours, the Events Coordinator ensures every detail is handled with professionalism and creativity.
 
Job Responsibilities:
  • Plan & Execute Events
    Lead the planning, execution, and strategy of year-round internal and external Club-hosted events including matchday activations, Season Ticket Holder appreciation events, partner programs, and community-facing experiences.
  • Cross-Departmental Collaboration
    Collaborate with internal departments (Operations, Marketing, Partnerships, Community Relations, Ticketing) and Club partners to ensure all events align with Club goals, brand standards, and values.
  • Event Logistics & Coordination
    Manage all event logistics from start to finish—including scheduling, planning, load-in/load-out, staffing, and onsite execution—for internal, partner, and small-to-medium scale Club-hosted events.
  • Venue & Calendar Management
    Coordinate venue logistics, reserve event spaces, and maintain the Club Events Playbook and campus event calendar while tracking potential scheduling conflicts.
  • Event Documentation & Reporting
    Create and maintain essential planning documents such as run-of-shows, site maps, and staff sheets. Track event data and departmental activity through internal reports and provide consistent updates to stakeholders.
  • Vendor & Budget Oversight
    Maintain relationships with vendors (catering, A/V, décor, etc.), manage event supply inventory (giveaways, gifting), and assist with budget tracking and bi-weekly financial reviews with Finance and Management.
  • Matchday & Fan Activation Support
    Support CITY and CITY2 matchday activations including plaza/concourse activities, vendor coordination, partner activations, and fan-facing experiences.
  • Partner Events & Space Usage
    Coordinate and support partner events and suite holder space usage requests by creating proposals, managing logistics and on-site service, and acting as the client point-of-contact.
  • Support & Collaboration
    Assist with special projects, such as large-scale watch parties and stadium experiences, and provide general support to the Special Events team.
  • Tour Coordination
    Assist in the scheduling, sale, and execution of group tours as needed.
  • Community Awareness
    Maintain a calendar of local events that may impact stadium operations and communicate key dates to the Special Events team and stakeholders.

Skills & Qualifications
  • 2-3 years of event experience.
  • Strong organizational skills with an eye for detail.
  • Exceptional relationship management skills.
  • Ability to coordinate multiple events while managing time effectively.
  • Must be a self-starter and goal-driven with a passion for their work.
  • Ability to work calmly in a fast-paced environment.
  • Significant experience with creative thinking and a solutions-oriented attitude.
  • Strong professional communications and interpersonal skills when working with clients and internal groups to achieve organizational goals.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Must be able to lift and carry items up to 50lbs.
  • Availability to work flexible hours including nights, weekends, and holidays including matchdays.
