Summary
The Executive Operations Manager provides operational and administrative support to the Executive Leadership Team by managing executive operations, Board governance, ownership activities, meetings, travel, and special events. Reporting to the EVP, Club Operations, Retail and Community Impact this role serves as a trusted partner across the organization, ensuring the seamless execution of executive priorities while coordinating the Club's master calendar, supporting community partnerships, and leading executive and employee engagement logistics. Success in this role requires exceptional organization, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced, high-touch environment.
Key Responsibilities
The Executive Operations Manager provides operational and administrative support to the Executive Leadership Team by managing executive operations, Board governance, ownership activities, meetings, travel, and special events. Reporting to the EVP, Club Operations, Retail and Community Impact this role serves as a trusted partner across the organization, ensuring the seamless execution of executive priorities while coordinating the Club's master calendar, supporting community partnerships, and leading executive and employee engagement logistics. Success in this role requires exceptional organization, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced, high-touch environment.
Key Responsibilities
- Execute ownership communications and logistics for home and away matchdays, including attendance management, ticketing, credentialing, guest coordination, and cross-functional communication with Operations, Partnerships and Matchday teams.
- Serve as the primary relationship manager for SDFC's memberships with local business and civic organizations, such as the Chamber of Commerce, San Diego Sports Innovators, Sports San Diego, and the Downtown Partnership - identifying networking opportunities and fostering partnerships that enhance the Club’s presence with the community.
- Coordinate governance activities for all Board of Directors and Finance Committee meetings, including logistics, materials, scheduling, communications and follow-up.
- Own the end-to-end execution of All Staff Meetings, partnering with leadership to coordinate content, maintain presentation standards, and oversee meeting logistics. Coordinate the Club’s Lunch & Learn program by partnering with department leaders on scheduling, communication, catering, room setup, IT support and event execution.
- Maintain the organization’s master calendar, partnering with department leaders to align priorities, optimize scheduling, and proactively resolve conflicts across the business.
- Manage planning and logistics for executive and ownership level meetings and events, including invitations, RSVPs, guest management, hospitality, and communications.
- Partner with internal stakeholders to plan and execute executive meetings, leadership events, and 7th floor hospitality events ensuring a high-quality experience for ownership and VIP guests.
- Coordinate domestic and international travel for the executives and ownership, including flights, accommodations, itineraries, transportation, and travel-related logistics.
- Lead and coordinate cross-functional executive initiatives and special projects, ensuring deadlines, deliverables, and stakeholder expectations are effectively managed.
- Continuously evaluate and improve executive support processes, administrative workflows, and meeting operations to enhance organizational effectiveness and efficiency.
- Support the Chief Delight Officer (CDO) team in planning and executing employee engagement initiatives and flagship events, including the Summer Event, Holiday Party and other culture-building activities.
Qualifications & Experience
- Bachelor's degree in Business Administration, Communications, Sports Management, or a related field, or equivalent professional experience
- 4+ years of experience in executive operations, supporting senior executives, leadership teams, or ownership groups in a fast-paced environment; professional sports, entertainment, or hospitality industry preferred.
- Demonstrated experience coordinating executive meetings, Board activities, travel, and events.
- Strong organizational and project coordination skills, with the ability to manage complex calendars, travel, multiple priorities, and cross-functional initiatives.
- Proven ability to handle confidential and sensitive information with professionalism, discretion, and sound judgment.
- Ability to work evenings, weekends and matchdays as business needs require.
