SUMMARY
The Team Administration Manager provides essential administrative support and manages all logistical needs for the Utah Royals FC team, coaches, and players. This critical role ensures smooth daily operations, facilitates team travel, and serves as a key communication link, contributing directly to the team's overall success and well-being. This position requires regular domestic travel and the flexibility to maintain a schedule aligned with a professional sports team, including evenings and weekends.

RESPONSIBILITIES INCLUDE:
  • Successfully plan and execute all travel and logistical arrangements for First Team operations, including training ground, transportation, hotel security, for home and away matches, tours, and training camps.
  • Manage all First Team communications daily, ensuring schedules and itineraries are clearly communicated to Players and Staff, both verbally and electronically.
  • Oversee all operational matchday administration, including team sheet submission, Staff accreditation, access permissions, team timing, and managing weather-related delays.
  • Collaborate with various internal departments to ensure efficient facility usage and field availability.
  • Serve as the primary operational contact for the National Women's Soccer League (NWSL).
  • Act as a direct source of communication with players on all day-to-day operational matters.
  • Assist with Utah Royals' immigration matters, including but not limited to U.S. P1 visas and Green Cards.
  • Function as the Visiting Team Liaison, coordinating hotel arrangements and game day logistics for visiting teams.
  • Ensure strict compliance with NWSL and Utah Royals protocols and procedures.
  • Attend regular meetings, including All-Staff meetings and leadership discussions, as required.
  • Assist with other duties as assigned by the President of Soccer, Sporting Director, and Head Coach.
MINIMUM QUALIFICATIONS
  • Three (3) or more years of administrative and travel booking experience.
  • Previous experience as a Team Administrator for a professional or collegiate sports team.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, with a focus on Word, Excel, and PowerPoint.
  • Ability to collaborate effectively within a team environment.
  • Exceptional organizational skills with the ability to manage multiple priorities and time-sensitive tasks.
  • Ability to perform effectively and maintain composure under pressure.
  • Strong problem-solving skills and the ability to exercise sound judgment.
  • Knowledge of administrative principles, regulations, operating procedures, and basic accounting/budgeting practices.
  • Ability to work evenings and weekends to accommodate the team's schedule.
  • Ability to travel with the team 100% of the time.
  • Ability to pass a background check and become Safe Sport certified.
  • Demonstrated discretion and the ability to handle sensitive and confidential information with integrity.
PREFERRED QUALIFICATIONS
  • Fluency in Spanish or other languages to facilitate communication with international players.
  • Previous experience managing the logistics of a women's professional sports team.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
The job requires regularly lifting/pushing up to 25-40 pounds and occasionally lifting/pushing more than 50-60 pounds or exerting heavy force, in a wide disparity of environmental conditions. The job involves standing, stooping, kneeling, bending, lifting, pushing, and other physical activities inherent to managing team logistics. This role requires adaptability to various environments, including training facilities, stadiums, and travel settings.
