The Washington Spirit is seeking a Payroll Specialist with experience in processing & maintaining payroll operations using multiple payroll processing platforms to join our team. The ideal candidate will have a strong attention to detail, the ability to handle sensitive information with integrity, who is comfortable working in a fast-paced environment while ensuring compliance with payroll regulations and an excellent understanding of payroll functions and systems. 

The Payroll Specialist will be responsible for ensuring the accurate and timely processing of payroll for employees across various entities and departments, both exempt and non-exempt. This position requires proficiency in multiple payroll processing platforms to efficiently manage payroll for a diverse workforce. The successful candidate will also provide support for various payroll-related inquiries and assist in maintaining compliance with applicable regulations and state agencies.

SALARY & HOURS: The compensation for this role is up to $37.50 per hour, dependent on experience. The commitment is approximately 20 hours per week, with fluctuations around the payroll schedule and tax filing deadlines.

The Payroll Specialist will:
  • Process payroll for employees using our payroll platform, Paycor
  • Ensure the accurate calculation of wages, deductions, bonuses, commissions, and overtime based on company policies and applicable laws. 
  • Maintain payroll records, including employee hours, time off balances, and tax information.  
  • Work with People and Culture to process and maintain approved employee direct deposits, tax withholding and benefit changes  
  • Handle payroll tax filings and remittances, ensuring compliance with federal, state, and local tax regulations. 
  • Stay updated on changes to federal, state, and local payroll regulations, ensuring compliance across all payroll platforms. 
  • Reconcile payroll discrepancies and resolve any issues or concerns raised by employees and/or management. 
  • Reconcile various payroll related GL accounts at month-end. 
  • Assist in the preparation of year-end reports, including W-2s and other tax-related documents. 
  • Generate and distribute reports from the payroll system for management and finance reporting. 
  • Collaborate with P&C and finance teams to ensure smooth onboarding and offboarding processes, including the proper setup of new hires and final pay calculations for terminations. 
  • Assist in the implementation and integration of new payroll systems or upgrades as needed. 
  • Ensure that payroll processes adhere to company policies, regulatory requirements, and best practices. 

The ideal candidate has: 
  • Proven experience (3-5 years) as a Payroll Specialist or similar role, with expertise in using multiple payroll processing platforms processing in a large, multi-state environment 
  • Proficiency or prior experience using Paycor is preferred
  • Proficiency in using payroll software such as ADP, Paychex, Paycor, QuickBooks, or similar platforms, and Microsoft Office, with emphasis on Excel 
  • Strong knowledge of payroll and tax regulations, including federal, state, and local laws. 
  • Excellent attention to detail and accuracy when processing payroll. 
  • Ability to maintain confidentiality and handle sensitive information with integrity. 
  • Strong organizational and time-management skills, with the ability to meet deadlines consistently. 
  • Excellent communication skills, both written and verbal. 
  • Ability to troubleshoot payroll issues and provide effective solutions. 
  • Familiarity with Microsoft Office Suite, especially Excel, for generating payroll reports and analysis. 
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field (preferred). 
  • Certification in payroll processing (e.g., CPP – Certified Payroll Professional) is a plus.
