Who are we hiring?
The CMMS & Projects Coordinator plays a critical role in managing the computerized maintenance management system (CMMS) and assisting in venue projects to ensure the venue’s infrastructure, equipment, and facilities operate smoothly and efficiently. The role is heavy in computerized maintenance management administration with a blend of project oversight, combining both technical and communication skills to support the venue's day-to-day operations and long-term planning.

What will you do? 
CMMS Management:
  • Implement, maintain, and optimize the CMMS system for efficient tracking of facility maintenance and improvements.
  • Manage the scheduling, reporting, and completion of all preventive maintenance tasks for venue equipment, mechanical, electrical, plumbing (MEP), HVAC, and other various infrastructure.
  • Track work orders and inventory management, ensuring that maintenance supplies and spare parts are maintained at required quantities.
  • Coordinate with other departments to manage and develop the Asset Inventory Control Program.
  • Train, assist, and guide other departments on CMMS best practices. 
  • Conduct trend analysis on Engineering analytics and prepares reports as needed. 
  • Assists with managing Stadium Operations Command on event days.

Project Management:
  • Assists Engineering leadership with the planning, coordination, and execution of venue-related projects (e.g., renovations, upgrades, equipment installation).
  • Work with vendors, contractors, and internal teams to ensure timely delivery of projects and maintenance tasks.
  • Ensure that all projects comply with safety, regulatory, and quality standards.
  • Provide excellent customer service by explaining repair/improvement requirements and costs.

Operational Support:
  • Collaborate with the operations and technical teams to ensure that all venue equipment is functioning optimally.
  •  Prepare and analyze reports on maintenance activities, performance metrics, and project progress.
  • Adapt to changing work demands, responding to urgent repairs, emergency calls, and event-related maintenance tasks. 

Vendor Management:
  • Manage relationships with external vendors and contractors for maintenance services and project work.
  • Maintain a professional appearance and demeanor with external vendors that reflects positively on organization. 
  • Assists with the administration of contracts to ensure vendors meet quality and service expectations.
  • Determine neatness, accuracy and thoroughness of the work assigned. 
Other duties and responsibilities as assigned.

What do you need to succeed?
  • Experience with CMMS software (24/7 experience is preferred).
  • Proven experience in project management is preferred.
  • Understanding of venue operations and maintenance needs.
  • Excellent communication and organizational skills.
  • Ability to work independently while also taking direction from leadership. 
  • Familiarity with safety regulations and compliance standards in venue operations.
 
Special requirements of the Job: 
  • Must be able to work a flexible schedule, inclusive of weekends, nights (event evenings & overnight operation shifts) and holidays.
  • Ability to monitor company communications and respond to time-sensitive matters with Leadership. 
  • This job is operated in an office and stadium environment. The noise level is usually moderate but can be loud within the stadium environment. This position will work in various weather conditions including, but not limited to, heat, cold, rain and sunny environments. 
  • Heavy lifting, up to 50 lbs. 
  • Standing/walking for extended periods of time 
  • Carrying and/or transporting heavy objects, usually by hand, arm, or shoulder 
  • Pushing, pulling, and exerting force to complete tasks and assignments
