We are looking for a dynamic Human Resources & Office Assistant to join our team!
POSITION OVERVIEW
The HR & Office Assistant play a critical role on the HR team by assisting with HR administrative tasks and general office support. This role will provide general office support by overseeing the daily administrative and operational functions of the office with specific responsibility for the office breakroom and office supply maintenance. This role is also responsible for handling day-to-day HR administration, maintaining employee records, assisting with recruitment and onboarding, supporting payroll, and ensuring compliance with HR policies and labor laws. The ideal candidate is highly organized, detail-oriented, and has excellent communication skills.

- Demonstrate leadership in accordance with Chicago Stars FC mission, vision and values.
HR Administration Support
- Support the HR Generalist in maintaining accurate and up-to-date employee records and information in files, documents, and HR systems.
- Assist the HR Generalist with full-cycle recruitment including posting job ads, scheduling interviews, and coordinating onboarding/orientation process.
- Prepare new-hire paperwork and support orientation processes.
- Provide support for payroll processing.
- Assist with monthly companywide newsletter.
- Initial contact for basic employee inquiries regarding HR policies, procedures, and benefits.
- Assist with HR reporting, compliance audits, and preparation of HR-related documents and reports.
- Support training, performance management, and employee engagement initiatives.
- Ensure confidentiality and security of sensitive HR information.
- Manage certain employee engagement activities such as weekly lunch, birthdays, and anniversaries.
Office Administration Support
- Maintains inventory of office supplies; orders new supplies as needed.
- Ensures the kitchen is a clean, well-stocked and safe environment for all employees by coordinating maintenance, managing inventory and upholding health and safety standards.
- Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
- Liaise with office building management to assist employees with office access and with office concerns and issues.
- Partner with the information technology department to ensure technology equipment is ordered and stocked; ensure IT office support.
- Maintains office files; implements an efficient system for other staff to access files and records.
- Provides support with the All- Staff meetings.
- Assist with all incoming and outgoing mail and packages, ensuring they are sorted, processed and distributed accurately and in a timely manner.
- Maintain postage accounts, including UPS and FedEx, and ensure cost-effective and efficient shipping solutions.
- Performs other related duties as assigned
REQUIRED QUALIFICATIONS AND EXPERIENCE:
- 1–3 years of experience in HR administration, office administration or similar role.
- Proficiency with Microsoft Office Suite.
- Excellent organizational and time management skills, and attention to detail.
- Strong interpersonal and communication skills.
- Ability to handle sensitive information with integrity and discretion.
- Ability to work in a fast-paced environment and manage multiple competing priorities.
PREFERRED QUALIFICATIONS
- Familiarity with HR processes, labor laws, and best practices, preferred.
PHYSICAL DEMANDS
- Physical lifting up to 50 pounds
- Prolonged periods sitting at a desk and working on a computer.
LOCATION/WORK ENVIRONMENT
- Work hours are generally 9:00 am- 5:00 pm, Monday – Friday.
- The position will be located at our Chicago office at least 3 times per week. Occasional presence at our training facility in Bridgeview, IL may be necessary.
- Non-standard hours, including evenings, weekends, and game/match days may be necessary.
