Established in 2007, the Chicago Stars were a founding member of the former Women’s Professional Soccer and later became one of the original eight teams to form the National Women’s Soccer League in 2013. They are the longest continuously operating professional women’s soccer team in the United States. The Chicago Stars have made the playoffs in seven consecutive years, from 2015-2021, while also competing in three championship matches in as many years, including the 2019 and 2021 NWSL Championships and the 2020 Challenge Cup Championship.

We are looking for a strong Human Resources Generalist to join our team!
 
POSITION OVERVIEW
The HR Generalist will play a key role in supporting all areas of Human Resources for the Chicago Stars. This role will support the VP, Human Resources in driving the culture and employee experience in our organization. This role will be responsible for payroll administration as well as providing support throughout the employee experience, including but not limited to: talent acquisition, onboarding, benefits, policies, performance management, and employee relations. In partnership with leadership and the VP, Human Resources, the HR Generalist will help review, develop, and implement programs and services that enrich our culture.

  • Demonstrate leadership in accordance with Chicago Stars FC mission, vision and values.

General
  • Uphold the confidential nature of the Human Resources department and act with integrity at all times. 
  • Manage or assist VP with HR projects, programs and initiatives. 
  • Ensures data quality between HR systems (e.g., payroll, onboarding, employee changes/events), troubleshoots issues/discrepancies, and resolves issues in partnership with HR and Finance department. 
  • Work closely with VP, Human Resources to execute yearly performance evaluation process including but not limited to: documentation development, manager training, and calendar management. 
  • Aid in the development of HR standard operating procedures (SOPs). 
  • Maintain knowledge of trends, best practices, regulatory changes, and new technologies in talent management. 
  • Maintain and expand knowledge and understanding of basic existing and proposed federal and state laws/regulations. 
  • Perform other duties as assigned.

Talent Management  
  • Develop and maintain all recruiting & hiring related documents for internal and external use. 
  • Support proper documentation and retention of all job postings, job descriptions, interview notes, etc. 
  • Form close relationships with hiring managers to ensure clear expectations for candidates and interviewers. 
  • Coordinate with hiring managers to identify staffing needs and candidate selection.
  • Co-lead all aspects of recruiting with appropriate departments including but not limited to: job description creation, posting, sourcing, resume review, interviews and candidate correspondence.
  • Support key sourcing for all roles including but not limited to: distributing job postings, passive searching, and research of unique sourcing solutions, with a focus on underrepresented groups. 
  • Research and coordinate participation in career fairs and other events to support growth and awareness of Chicago Stars.
  • Ensure hiring managers are trained on all recruiting processes and procedures.

Onboarding & Offboarding
  • Conduct the pre-employment and rehire process as needed; this includes the collection of required documents, processing background checks and updating the HRIS. 
  • Support the continued build out of new hire onboarding & orientation programs (i.e. manager check list, 30-60-90 check-ins), make recommendations for continuous improvement, and coordinate as needed.
  • Conduct exit interviews as necessary. Process separation paperwork and collect company property as needed.  
 
Payroll Administration
  • Prepare, process and review semi-monthly full cycle exempt and non-exempt payroll; including and not limited to, benefits, taxes, and off-cycle requests while ensuring compliance with Federal, State, and Local regulations.
  • Review and ensure timely submittal of approved time records.
  • Work directly with other departments and staff to resolve pay discrepancies.
  • Manage payroll inbox and respond to employee inquiries.
  • Create all process mapping and SOPs for payroll processes.
  • Ensures compliance and accuracy of employee data in the HR system. 
  • Maintains accurate and compliant employee records by updating/correcting payroll information and preparing payroll reports to audit data. 
  • Verifies the accuracy of new hire data transmission from onboarding to the HRIS and enters supplemental new hire data into the HRIS to ensure complete and accurate records.
  • Enters and/or audits payroll changes in the HRIS, maintaining dual control. 
  • Coordinates with the Legal department to validate legal orders (e.g., garnishments, child support, and bankruptcies), enters deduction codes in payroll system, prepares reports and checks after payroll is processed, and mails checks to appropriate payees. 
  • Generates various reports and prepares data for audits, ensuring accuracy of information.

Benefits & Leave Administration
  • Provide guidance on FMLA, ADA, workers’ compensation, and employee benefits administration. 
  • Support annual open enrollment and communicate as appropriate with benefits vendors or brokers.
  • Ensure accurate benefits of enrollment, leave tracking, and accommodations.
  • Assist VP, Human Resources with companywide health, safety, and wellness initiatives.
  • Performs related ad-hoc tasks and projects, as requested. 
 
REQUIRED QUALIFICATIONS AND EXPERIENCE:
  • 5+ years professional full-time HR experience, including recruiting and sourcing experience. 
  • 3+ years of payroll administration experience, experience with Paychex or similar platform.
  • Strong knowledge of payroll administration, processing and timekeeping systems; Applicant Tracking  (ATS) and HRIS knowledge required.
  • Thorough knowledge of all employment laws & regulations, labor relations and recruitment required. 
  • Professional demeanor and strong customer service skills. 
  • Exceptional time management and organizational skills, attention to detail, and sense of urgency. 
  • Excellent written and verbal communication skills.
  • Knowledge and practical application of additional HR disciplines including employee relations, performance management, compensation philosophies.
  • Ability to develop and maintain internal and external relationships. 
  • Must have a high level of interpersonal skills and able to handle sensitive and confidential situations. 
  • Strong technical skills including Microsoft software (Excel, Power Point, Outlook, Teams).

PREFERRED QUALIFICATIONS
  • Degree in Human Resources, Business Management, or related field. 
  • Bi-lingual or multi-lingual, a plus
  • Knowledge of OSHA and workplace safety a plus.
  • Experience in professional sports, hospitality, entertainment a plus
  • Strong familiarity with immigration and the visa process, preferred
 
PHYSICAL DEMANDS
  • Physical lifting up to 20 pounds
  • Prolonged periods sitting at a desk and working on a computer. 
 
LOCATION/WORK ENVIRONMENT
  • Work hours are generally 9:00 am- 5:00 pm, Monday – Friday.
  • The position will be located at our Chicago office at least 3 times per week with some work on-site at our training facility in Bridgeview, IL
  • Non-standard hours, including evenings, weekends, and game/match days may be necessary.
