ABOUT THE PHILADELPHIA UNION FOUNDATION
The Philadelphia Union Foundation (PUF) has been and, will always be, an agent of change for the underserved and underprivileged. The Foundation builds safe spaces to play soccer for families throughout Philadelphia, provides innovative educational initiatives and a professional soccer infrastructure for high school students in Chester; and is developing a pioneering mental fitness program to support young players, parents, and coaches across the Delaware Valley.
In 2019, the Foundation brought soccer back to the high school students of Chester for the first time in thirty years. In 2020, during the worst of the pandemic, it created its Fight For Philly initiative providing support for frontline workers and the most vulnerable in society. In 2021, the Foundation opened the first of fifteen mini-pitches and two full-sized signature fields to be built in inner-city Philadelphia. Later that same year, it launched its iAM Project – an academic enrichment, mentorship and career-readiness program for the young men and women of Chester. These projects mark a realization of the Foundation’s commitment to leveraging the power of soccer to create opportunities and to transform lives.
ABOUT THIS ROLE
The Coordinator of Charitable Operations plays a vital role in ensuring the smooth execution of the Philadelphia Union Foundation’s fundraising events, gameday activations, and community programs. This highly logistical and process-driven position supports the operational infrastructure needed to deliver meaningful impact through the Foundation’s four core initiatives: HeadFirst, Chester Union, Safe Spaces, and the iAM Project.
The ideal candidate thrives in fast-paced environments, enjoys managing behind-the-scenes details, and can confidently support everything from inventory systems to event-day setup to donor communication workflows.
RESPONSIBILITIES
Fundraising Operations
- Lead matchday 50/50 raffle operations, including staffing, compliance, and partner coordination.
- Track revenue and donor engagement across events and gamedays using Givesmart.
Event Logistics & Support
- Assist in the planning and execution of signature events, including:
- Legends of Soccer Gala
- Doop Cup Golf Outing
- Community-facing activations for Safe Spaces, Chester Union, HeadFirst, and the iAM Project
- Manage event logistics such as run-of-show documents, inventory prep, staff schedules, and physical setup/tear-down.
- Maintain vendor relationships for equipment, printing, signage, giveaways, and other event needs.
Inventory & Systems Management
- Maintain organized inventory of merchandise, memorabilia, apparel, print collateral, and gear.
- Oversee shipping, packing, and restocking processes.
- Manage digital files, forms, templates, and toolkits for staff and volunteers.
Communications Support
- Support the execution of scheduled email campaigns, event promotions, and impact reports.
- Assist with content updates on the Foundation’s website and social media platforms.
- Contribute to storytelling efforts by collecting photos, quotes, metrics, and testimonials from events.
QUALIFICATIONS
- 1–3 years of relevant experience in event management, operations, nonprofit fundraising, or logistics.
- Strong organizational skills with a systems-oriented mindset.
- Experience handling cash, merchandise, and vendor logistics.
- Comfortable managing inventory and tracking project timelines.
- Proficiency in Microsoft Office; familiarity with Canva, Salesforce, and Classy is a plus.
- Ability to work evenings, weekends, and gamedays as required.
- Passion for the mission of using soccer to serve youth and communities in Chester and the Delaware Valley.
