Administration/General Management: Administrative/Executive Assistant
Nashville is America’s “It City” and a soccer city on the rise that set a new state attendance record when 59,069 fans welcomed Nashville Soccer Club (the Club) to Major League Soccer on Feb. 29, 2020. Despite the challenges brought by COVID-19, Nashville SC is coming off a successful inaugural season that saw the Boys in Gold set new league records for an expansion team while reaching the Audi MLS Cup Semifinals. Now, the Club is ready for its second MLS season as construction continues in its new home, the largest soccer specific stadium in the United States.

POSITION DESCRIPTION :
The Administrative Assistant will handle many of the day-to-day administrative tasks for the Club. To be successful the candidate must be outgoing, detail-orientated, able to multi-task and quick on his/her feet. As one of the first people visitors and guests meet at the Club headquarters, this individual must embody the Club’s culture and core values at all times. This position will report to the Talent Acquisition Specialist.
RESPONSIBILITIES:
  • Answer and screen all phone calls coming into the Club’s main phone line and problem solve as the situation warrants.
  • Manage access of all visitors and guests to the Club’s Front Office. 
  • Assist with maintaining CEO’s schedule, making his travel arrangements and filing his expense reports. 
  • Perform the following administrative tasks:
  • Manage/order office supplies and equipment;
  • Open and distribute mail;
  • Collect and record hourly timesheets; and
  • Assist with credit card reconciliation. 
  •  Assist with management of the Club’s intern program.
  • Maintain the pantry and related products.
  • Order and distribute office supplies. 
  • Occasionally assist the game day operations at the stadium. 
  • Assist the Chief of Staff with special projects.
  • Assist other departments with special projects.
  • Perform other duties as directed.



QUALIFICATIONS:
  • High level of interpersonal skills including tact and diplomacy to handle sensitive and confidential situations.
  • Track record of providing exceptional customer service.
  •  Detail orientated and the ability to multi-task with minimal supervision.
  • Must be proficient in Microsoft Office applications.
  • Passion for soccer and the community.
  • Prior experience with a sports organization is preferred but not required.
  •  Must be able to lift 10-20 pounds.
  •  Flexible schedule that permits work on evenings, weekends and holidays.
