Role Overview
The Box Office Coordinator is a critical support role within the Ticket Sales department, responsible for executing the systems, reporting, and operational processes that enable ticket revenue and deliver a seamless fan experience.
This role owns the day-to-day management of ticketing infrastructure—including event builds, inventory, and reporting—while supporting the sales team with the tools, data, and execution required to drive performance.
The ideal candidate is highly detail-oriented, technically proficient, and thrives in a fast-paced environment where accuracy, responsiveness, and customer experience are essential.
Key Responsibilities
Ticketing Systems & Event Builds (Core Function)
- Own the setup, configuration, and maintenance of all ticketed events, including manifests, pricing, inventory, and seat mapping
- Build and manage all ticketing elements, including price codes, plans, promo links, and group sales inventory
- Administer and maintain the ticketing system, ensuring accuracy, functionality, and data integrity
- Troubleshoot system issues and resolve errors quickly to avoid disruption to sales or fan experience
- Support account setup, ticket fulfillment, transfers, and upgrades
Reporting & Data Management (Core Function)
- Own the creation and distribution of daily, weekly, and monthly ticket sales reports
- Maintain accurate tracking of sales performance, inventory, and revenue pacing
- Build and manage dashboards and reporting tools used by leadership and the sales team
- Support forecasting and performance analysis by providing accurate, timely data
- Ensure consistency and integrity of ticketing and CRM data
Financial Operations
- Support invoicing, payment processing, and reconciliation related to ticket sales
- Assist in tracking revenue against department goals and budgets
- Partner with Accounting and Business Operations to ensure financial accuracy and reporting discipline
Sales Support & Cross-Functional Execution
- Provide operational support to Ticket Sales team, ensuring systems and inventory align with sales strategies
- Collaborate with Marketing to execute campaigns, offers, and ticketing initiatives
- Ensure ticketing infrastructure supports promotions, audience targeting, and conversion efforts
- Identify and flag opportunities to improve ticket performance through pricing, packaging, or process improvements
Game Day & Box-Office Operations
- Lead box office operations on event days, ensuring efficient, accurate, and customer-focused execution
- Resolve ticketing issues in real time, including account discrepancies, access issues, and customer concerns
- Train and support part-time staff to execute box office responsibilities effectively
- Ensure all systems and processes are fully operational before, during, and after events
Customer Experience
- Serve as a key point of contact for ticket-related issues, ensuring fast and effective resolution
- Support clients, group leaders, and fans throughout the ticketing lifecycle
- Deliver a high-quality, service-driven experience that supports retention and repeat attendance
Qualifications
- Bachelor’s degree preferred
- 1–2+ years of experience in ticketing, operations, live events, or similar role
- Experience with ticketing systems (Tickets.com and FEVO preferred)
- Strong proficiency in Excel or data/reporting tools preferred
