Position Summary
The D.C. United Academy Administrator manages the daily administrative and operational functions of the Club’s Academy in Major League Soccer. This role supports coaches, players, families, and technical staff by coordinating schedules, compliance, travel, communication, and league operations to ensure the academy runs efficiently and professionally.

Key Responsibilities
Academy Operations
- Coordinate daily academy schedules, training sessions, matches, and events
- Manage player registration, roster updates, and league documentation
- Maintain accurate player records, medical forms, and eligibility information
- Organize travel arrangements including flights, hotels, meals, and transportation
- Coordinate facility usage, equipment distribution, and operational logistics
League & Compliance Administration
- Ensure compliance with MLS NEXT rules, club policies, and federation requirements
- Submit league reports, match documentation, and player eligibility forms
- Track player participation, attendance, and disciplinary records
- Assist with safeguarding, risk management, and safety protocols
Communication & Support
- Serve as a primary contact for players, parents, coaches, and league officials
- Distribute schedules, travel itineraries, announcements, and academy updates
- Support parent communication and academy meetings
- Assist coaching staff with administrative needs and match-day preparation
Financial & Administrative Duties
- Process invoices, expense reports, and budget tracking
- Assist with academy purchasing and inventory management
- Maintain operational databases and filing systems
- Support academy events, camps, showcases, and tournaments
Match & Event Coordination
- Coordinate home and away match logistics
- Prepare match documentation and team materials
- Support tournament registration and event planning
- Assist with hospitality and visiting team coordination when needed
Qualifications
Education
- Bachelor’s degree in Sports Management, Business Administration, Communications, or related field preferred
Experience
- 2–5 years of administrative or operations experience in sports, youth development, or professional athletics preferred
- Experience working in soccer, college or elite youth sports environments is a plus
Skills
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Attention to detail and problem-solving capability
- Ability to work evenings, weekends, and travel as required
- Proficiency in Microsoft Office, Google Workspace, and athlete management systems
Preferred Certifications
- SafeSport certification
- CPR/AED certification
Work Environment
- Office, training facility, and match-day environments
- Frequent evening and weekend responsibilities
- Occasional travel for matches and tournaments
