Position Summary
The Development Coordinator is a key member of the USA Triathlon Foundation team, responsible for carrying out day-to-day tasks that ensure the success of the Foundation. This role works closely with the Chief Development Officer and the Manager of Annual Fund and Foundation Operations to support program coordination, event planning, relationship building, donor stewardship, and CRM database (Salesforce) management.
The ideal candidate is organized, energetic, and passionate about advancing the mission of the USA Triathlon Foundation through meaningful donor relationships, community programming, and endurance sport. This role offers exposure to all aspects of nonprofit development and is well-suited for a motivated early-career professional seeking to grow in the fundraising field.
This position is based at USA Triathlon headquarters in Colorado Springs, Colorado.
Essential Job Functions
Donor Database Management
- Receive, process, and acknowledge all donations and funding to the Foundation.
- Maintain and manage donor records within the Foundation CRM (Salesforce), including creating donation pages, generating reports, and cleaning donor data.
- Coordinate corporate matching gifts and donor benefit fulfillment.
- Work collaboratively with the Manager of Annual Fund and Foundation Operations to ensure accuracy and efficiency in donor records and reporting.
- Travel occasionally to represent the Foundation and provide on-site support at donor-hosted events and activations.
Donor Stewardship & Engagement
- Assist with drafting personalized donor communications, thank-you letters, and impact reports.
- Support stewardship activities such as donor recognition programs, milestone celebrations, birthdays, and community spotlights.
- Help research prospective donors and corporate partners, preparing background briefs for leadership.
- Collaborate with the Manager of Annual Fund and Foundation Operations on stewardship campaigns and donor engagement opportunities.
Fundraising Support
- Contribute to the planning and execution of annual giving campaigns, peer-to-peer fundraising, and online giving initiatives.
- Track fundraising progress and prepare regular updates for Foundation leadership.
- Collaborate with Foundation staff to brainstorm new fundraising opportunities tied to triathlon events and community engagement.
- Provide support in managing pledge and gift agreements in donor database in partnership with the Chief Development Officer.
Program & Event Support
- Help manage the operations and deliverables of the Foundation Ambassador team by fostering an engaging environment among the team and providing ongoing support to Foundation volunteers.
- Assist with planning and execution of Foundation events, including VIP hospitality tents, training camps, and the annual fundraising Celebration of Sport.
- Support initiatives that connect athletes with donors, including storytelling, impact videos, and virtual events.
- Lead administrative support for special Foundation initiatives like THE ALEXANDER Award, including nomination management, travel logistics, and video storytelling coordination. Working hand in glove with the Foundation team.
General Operations & Administration
- Provide administrative and logistical support across the Foundation team, including scheduling, invoice processing, travel bookings, and expense report reminders.
- Assist with quarterly Board of Trustees meeting preparation and material distribution.
- Monitor inventory of Foundation materials and merchandise; lead shipping and packing for events.
- Support the Chief Development Officer with donor meeting scheduling, call reports, and special major donor stewardship needs.
Marketing & Creative Communications
- Collaborate with the Manager of Annual Fund and Operations with the USAT Marketing team to execute email campaigns that drive donor and participant engagement.
- Create and maintain Foundation content on social media and the website.
- Develop creative and promotional materials for use across digital, print, and event channels.
- Assist in leveraging triathlon races, camps, and community events as donor engagement opportunities.
First-Year Deliverables & Growth Goals
Within the first year, the Development Coordinator will be expected to:
- Gain proficiency in Salesforce CRM, including donation entry, reporting, and donor segmentation.
- Independently manage donor acknowledgement processes, ensuring timely and personalized communications.
- Lead logistics organization and gathering for at least one Foundation event or program, from planning through execution while working closely with Manger of Annual Fund and Foundation Operations.
- Support successful implementation of an annual giving campaign in collaboration with the Manager of Annual Fund and Foundation Operations.
- Build strong working relationships with Foundation Ambassadors, athletes, and key donors.
- Demonstrate the ability to draft donor communications (letters, emails, impact updates) with minimal supervision.
- Contribute to quarterly progress reports on donor engagement, campaign performance, and stewardship activities.
- Show growth in understanding nonprofit fundraising best practices and present at least one new idea for donor or event engagement.
Qualifications
Required
- Bachelor’s degree or equivalent experience in business, nonprofit, marketing, communication, or related field.
- Minimum 1 year of relevant experience in development, events, fundraising, or marketing.
- Passion for triathlon – or swimming, biking, or running.
- CRM experience (Salesforce preferred).
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite.
Preferred
- Experience in the nonprofit or endurance sports industry.
- Comfort with public speaking and group facilitation.
- Familiarity with donor engagement and online fundraising tools.
- Experience with Canva, Adobe Creative Suite, or other design platforms.
- Basic understanding of financial tracking or budget management in a nonprofit context.
