Administration/General Management: Administrative/Executive Assistant
BASIC FUNCTION:  Assist the Events Department in the planning, managing and execution of Senior level (USATF National Championships and Grand Prix Series) and Masters National Championships, as well as supporting all USATF Events Initiatives. Be the point of contact for the Masters community at the USATF National Office, providing necessary support and resources.
 DUTIES AND RESPONSIBILITIES: ·      
  •  Build event RFP’s for various Masters USATF Championships
  • Serve as the primary liaison to the USATF Masters Community providing necessary support to achieve initiatives and plan programming. 
  • Review and monitor event progression as it relates to contracts and RFP’s 
  • Primary contact for Local Organizing Committees (LOC’s) for Masters Championships and Senior level events. 
  • Manage event budgets for many USATF Championships 
  • Develop and maintain up to date information on event pages at USATF.org
  •  Onsite event operations and management
  • Oversight of Branding and Marketing installations and planning at USATF Events
  • Oversight of Credential Protocols and ensuring SafeSport protocols are in place at USATF Events 
  • Manage award ceremonies at select USATF National Championships
  • Handle event logistics (ordering credentials, bibs, medals, patches, etc.)
  • Maintain events by event contract calendar 
  • Assist the Director of Events with final reconciliation of various Championship events. 
  • Ensure accurate event materials and inventoried items are properly distributed and available at each necessary event. 
  • Organize and maintain events related inventory and materials located in the USATF warehouse
QUALIFICATIONS: 
  • Strong background in Event Planning and Management, experience in Track & Field encouraged. 
  • Minimum of 1-2 years of on-the-job event management experience Bachelor Degree 
  • Driver’s License 
  • Project Management Skills 
  • Good Communication Skills 
  • Ability to multi-task Proficiency with MS Office Software (Excel, Word and Outlook), and Monday.com.
  • Must be able to pass a background check and drug test
PHYSICAL DEMANDS: 
  • Ability to lift up to 40 lbs. Long hours standing on feet
NON-PHYSICAL DEMANDS:  
  • Travel, Non-Traditional Hours (Nights & Weekends)
