ROLE PURPOSE
Responsible for the management and organization of the USA Rugby Warehouse. Provide high-quality operational, administration, and logistics support to the 15s Pathways Programs and the broader USA Rugby HP program. This role may require limited travel domestically.
PRIMARY RESPONSIBILITIES
- Oversee the daily operations of the USA Rugby warehouse, ensuring efficient organization, inventory control, shipping and receiving, and proper equipment management
- Maintain up-to-date tracking documents that provide accurate reporting on team VIK
- Maintain a quality records management system and assist with other equipment support, including technology, field, and office equipment
- Provide administration, coordination, and logistics support to the 15s Pathways Programs, including travel, accommodation, meals, outfitting/kit, and equipment needs
- Provide travel support for domestic and international camps and competitions
- Assist with the effective communication to key stakeholders, where required
- Positively contribute to a psychologically safe and trusted work environment with a focus on the performance, well-being, and holistic development of players, coaches, and staff
- Other tasks, projects, and responsibilities as assigned.
DELIVERABLES (WHAT WILL SUCCESS LOOK LIKE FOR THIS ROLE?)
- Warehouse administration:
- Lead in receiving and organizing all shipments to the warehouse
- Maintain an accurate inventory of warehouse equipment and kit
- Timely shipment of necessary kit and equipment to all HP teams
- Effective operational support to Women’s Pathways Teams and HP program:
- Assist with arrangement of 15s Pathway travel including flights, ground transportation, accommodations, baggage, meals, equipment, and supplies, etc. as required
- Provide support in the preparation of 15s Pathway travel documents, including visas, Camp and Tour notes, and any other necessary items
- Size and print all 15s Pathway match jerseys according to regulations
- Distribute kit and maintain an accurate inventory of kit and equipment for the wider HP program
- Administrative support with maintaining accurate roster for all Pathway players and staff in Teamworks, including contact details, passport information, etc.
- Assist with implementation and management of effective and consistent administrative procedures
- Assist with additional administrative needs at peak times and where required

EXPERIENCE, SKILLS, AND COMPETENCES
- Tertiary qualifications in sport management or administration, business, teaching, or a like field (desirable)
- Previous high-performance experience in the administration of HP rugby teams or other team sports (desirable)
- Experience in the management and coordination of travel and logistics, ideally within elite team sports, both domestically and internationally
- Project or program management experience involving planning, delivery, and evaluation
- Proven ability to build effective relationships in a fast-paced, dynamic work environment
- Experience in office or facility management
- Demonstrated learning capacity and ability to adapt and resolve complex programs in a timely manner
- Strong work ethic and flexibility to travel with the team if required
- This position requires flexibility to work evenings, weekends, and holidays as needed
COMPENSATION & BENEFITS (Colorado EPEWA-Compliant)
Compensation Range: $56,485 annually. The following represents the good-faith salary range and benefits package for this role. Final compensation will be determined based on the candidate’s experience, qualifications, and internal equity.
