Position Summary:

The Trainer and Education (T&E) Manager at USA Rugby is a key strategic and administrative role responsible for the development, delivery, and support of national community coaching and referee education initiatives. Working in close collaboration with the Senior Club, College, and Youth & High School councils, this position aligns the needs of the community with USA Rugby’s national strategy—without serving as an overseer of the councils.

This role leads the charge in improving the quality and accessibility of coach and referee development for community members, while also managing the day-to-day administration, systems, and logistics that power the educational experience. It is both a high-level leadership and operational role with significant responsibility and cross-functional interaction.

Success in this position will directly contribute to USA Rugby’s targets for membership growth, improved retention, and the professionalization of rugby education nationwide.

Key Responsibilities:

Strategic Development of Coaching and Refereeing Pathways

  • Lead national training and education initiatives for community coaching and refereeing in collaboration with the three community councils.
  • Deliver 100+ annual certification courses aligned with regional needs and national event opportunities.
  • Oversee national webinar series and resource development, including:
    • The American Way (National Coaching Webinar)
    • X’s and O’s (Coaching Series)
    • The American Referee (Referee Webinar Series)
    • Laws and Leadership (Monthly Referee Webinars)
  • Promote and expand accessible pathways for certification (Level 1 → Level 3) and advancement into the High-Performance system.
  • Maintain and expand coaching and referee resource libraries.


Community Collaboration & Council Engagement

  • Partner with Senior Club, College, and Youth & High School councils to identify needs and deliver aligned education initiatives.
  • Provide regular communication, reporting, and transparency to support decision-making at all community levels.
  • Act as a service partner—not a supervisor—to the community, facilitating access and opportunity.
  • Utilize High-Performance staff, national team coaches, and referees to inspire and connect with the next generation.


T&E Administrative Operations (Daily, Weekly, Monthly)


  • Inbox Management: Respond to 30–50 education-related emails weekly via HelpScout as the primary support contact for all education inquiries.
  • Pre-Course Admin:
    • Maintain the education course calendar and course listings on the USA Rugby website (HTML).
    • Coordinate course creation and registration via Docebo LMS and T&E contractors.
    • Process course coupon requests and invoicing through Finance.
    • Review and approve educator travel in TravelPerk.
    • Assign and manage course expense budgets via Divvy.
    • Package and distribute physical materials (e.g., referee whistles, coaching balls).
  • Post-Course Admin:
    • Review attendance in Docebo, process refunds, and confirm payment for walk-ins.
    • Maintain and reconcile tracking spreadsheets for attendance and educator payment.
    • Track and approve Divvy and RAMP spending and educator reimbursements.
    • Distribute Level 2 coaching videos to educators via Google Drive.
  • Monthly & Quarterly Tasks:
    • Upload L1 accreditations to World Rugby Passport and manage L2 transcript updates.
    • Upload referee webinars to Docebo LMS.
    • Process educator payments via RAMP (40–60 per batch).
    • Manage historical certification requests and update records in LMS and Rugby Xplorer.


Systems & Platform Oversight

  • Serve as point-of-contact for education-related systems:
    • Docebo LMS – Course creation, reporting, access, and support
    • Rugby Xplorer – Certification tracking and updates
    • Advantage Referee – Referee assignment tools
  • Coordinate with developers and national stakeholders to support product improvements and sprint priorities for T&E platforms.
  • Oversee integrations and data consistency across education platforms and World Rugby.

Key Metrics & Target Results:

Coaching Development

  • Increase registered coaches by 10% (target: +561)
  • Improve retention of Level 1 coaches year-over-year
  • Increase certification progression (L1 → L2 → L3)
  • Enhance membership growth through improved coaching (+7,742 members)
  • Expand resource access and coach development pathways

Referee Development

  • Increase registered referees by 10% (target: +157)
  • Improve retention and certification of Level 1 referees
  • Strengthen referee pathways and support across all competition levels
  • Drive national growth through better officiating standards (+7,742 members)

Scope and Boundaries

  • This role is both strategic and operational—providing national vision while executing the critical daily tasks that support grassroots education.
  • The T&E Manager does not direct or oversee council operations but works collaboratively to support their success.
  • This position is accountable for enabling national alignment and delivering a high-quality, consistent learning experience across platforms, people, and regions.

Qualifications:

  • Demonstrated experience managing training and certification programs (in rugby or similar sports organizations).
  • Proficiency in LMS platforms (preferably Docebo), HelpScout, TravelPerk, Divvy, Google Drive, and web content management (HTML familiarity preferred).
  • Strong organizational skills and attention to detail; able to manage complex, multi-layered workflows.
  • Clear and consistent communicator across multiple stakeholder groups.
  • Experience with coach or referee development, sport systems, and national certification structures.
  • Comfortable with national travel and frequent virtual coordination.

Preferred Qualifications:

  • USA Rugby or World Rugby coach/referee certification (any level).
  • Experience with Rugby Xplorer, Stripe, RAMP, or other membership systems.
  • Previous work in an NGB, sport development program, or education-focused nonprofit.
  • Passion for supporting volunteers, educators, and regional leadership.
