Job Summary:
The Events Coordinator, reporting to the Associate Director of Regional Events and Merchandise, is a key part of USA Fencing’s customer support team and the primary contact for members regarding sanctioned tournaments. This role is responsible for responding to incoming member inquiries by email and phone, conducting member outreach, and educating new and existing members about events programming and policies.
Job Summary:
The Events Coordinator, reporting to the Associate Director of Regional Events and Merchandise, is a key part of USA Fencing’s customer support team and the primary contact for members regarding sanctioned tournaments. This role is responsible for responding to incoming member inquiries by email and phone, conducting member outreach, and educating new and existing members about events programming and policies.
The Events Coordinator also will support event logistics and administration and manage project work across short- and long-term initiatives. Ideal candidates combine strong communication and customer-service skills with attention to detail, solid organizational/project-management ability, and a passion for sport and member engagement.
Primary Responsibilities:
· Serving as primary customer service contact for the Events Department, fielding incoming calls, emails and support tickets
· Developing processes and solutions to streamline response timelines, focusing on goal of 24-hour response time to all member outreach
· Support Events Department staff team in day-to-day process administration, including tournament withdrawals, processing of invitation letters for hosted international competitions and refunds.
· Process local sanctioned tournament results uploads, ensuring compliance standards are met and troubleshooting issues, as necessary, with Division Officers
· Assist Member Services staff team in processing manual age and nationality verifications in membership database
· Compile reports and assist in data analysis on customer satisfaction, response times and sources of frequent outreach/confusion amongst membership to develop solutions
· Compile reports and assist in data analysis for event-by-event surveys, helping to identify opportunities for improvement in participant experience at competitions
· Assist Senior Regional Events Manager in construction and updating of Regional Tournament Bid Applications and documentation, as well as review, scoring and selection process
· Assist Officials Coordinator in review and approval of Officials’ flights to National Tournaments
· Travel 1-2 times annually to support onsite tournament operations and administration with typical trip duration of 4-5 days
· Other duties as assigned

· Bachelor’s degree required - Business or Sports Management areas of emphasis preferred
· Strong organizational and problem-solving skills, able to manage multiple sets of high priority projects and tasks
· Excellent customer service skills, maintaining patient/calm demeanor even with customers that may escalate or upset
· Proficient skills with Microsoft suite of products, including Word, Excel and Powerpoint
· Ability to quickly learn and effectively utilize new systems and software
· Versatility, flexibility and willingness to work in environment where priorities may change frequently, and doing so with enthusiasm
· Commitment to diversity, equity, and inclusion in sport
· Ability to work both independently and collaboratively in a fast-paced environment

- $22.83 - $24.03/hour; Commensurate with experience

· The USA Fencing National Office is located in Colorado Springs, CO; the ability to work from National Office is preferred.
· This is a full-time non-exempt position with competitive pay and flexible schedule.
