Role Summary
The Associate Manager, Licensing Operations supports the commercial, financial, and product-approval activities of the Licensing division. This role ensures day-to-day operational accuracy across deal entry, reporting, compliance, and internal workflows while also contributing to larger system improvements and cross-department projects. The ideal candidate combines strong organizational skills with a practical understanding of licensed-product lifecycles, product approvals, and data-driven operations. This position plays a central role in connecting Finance, Legal, Sales, and Product teams to maintain smooth internal processes, accurate reporting, and consistent product-to-royalty alignment across multiple global clients and licensees.
Key Responsibilities
Licensing Operations & Deal Management
- Enter new licensing deals, amendments, and rate changes into the internal tracking systems.
- Maintain accuracy of contract terms, financial parameters, and client data across multiple systems.
- Update internal trackers to ensure contracts, approvals, and financial reporting remain aligned.
- Support Sales by preparing operational inputs for presentations and client discussions.
Financial Operations & Reporting
- Run reports on invoiced royalties, actuals, and transaction histories across clients and licensees.
- Reconcile reported sales with approved product submissions to identify discrepancies or compliance issues.
- Assist with annual and quarterly revenue forecasting.
- Support commission calculation workflows by providing clean data, summaries, and operational inputs.
- Collaborate with Finance to resolve reporting issues and follow up on missing or delayed statements.
Product Approval & Compliance
- Review product submissions, images, samples, and packaging to ensure adherence to brand standards.
- Coordinate with Product, Legal, and external licensees to resolve approval issues.
- Track progress of submissions from concept to final production.
- Participate in the integration of product-approval data with royalty-reporting systems to maintain product-to-sales accuracy.
- Support licensees by explaining approval workflows, system requirements, and operational expectations.
Operational Systems & Process Improvement
- Participate in the rollout, testing, and refinement of licensing systems (product approvals, royalty reporting, deal tracking).
- Provide user feedback and improvement suggestions to IT and Operations leadership.
- Help develop documentation, manuals, onboarding guides, and process maps for internal and external stakeholders.
- Work with cross-functional partners (US, Europe, APAC) to ensure consistent workflows and data integrity.
Audit Support & Compliance Oversight
- Assist with audit preparation by organizing data, reviewing SKU lists, and identifying reporting gaps.
- Support License Compliance by reconciling submissions and royalty reports.
- Communicate findings to internal stakeholders and licensees.
Cross-Functional Support
- Support Sales with the creation of PowerPoints, product decks, and business review materials.
- Partner with Product teams on online approval tasks and submission reviews.
- Support the global Operations and Finance teams as needed across time zones.
Skills & Qualifications
- Licensing, product development, or brand-approval experience preferred.
- Strong organizational and analytical skills; comfortable reconciling data sets.
- Experience with licensing systems, product approval portals, or similar platforms.
- Comfortable working in high-volume, deadline-driven environments.
- Strong communication skills with both internal stakeholders and external partners.
- Ability to work independently while contributing to multiple teams simultaneously.
- Proficiency in Microsoft Office, especially Excel and PowerPoint.
- Ability to learn new systems quickly and provide constructive feedback.
Per local requirements and in the interest of transparency, the hourly rate shown below reflects the prevalent current hiring range for this position. Hiring pay rates are based on a number of factors, including location and may vary depending on job-related qualifications, knowledge, skills and experience. Hiring Rate Minimum:
$60,000 annually (minimum will not fall below the applicable state/local minimum salary thresholds)
Hiring Rate Maximum:
$80,000 annually
