Position Overview
We are seeking a highly organized, proactive, and detail-oriented Part-Time Remote Scheduling Assistant to support Aloha Tournaments’ event scheduling operations. The Scheduler will work closely with internal staff to learn our scheduling platform, Exposure, and assist with creating, maintaining, and updating tournament schedules. This role also includes weekend on-call support during tournaments to help manage day-of-event changes, adjustments, and communication with staff, teams, and stakeholders.
This is a remote, part-time position ideal for someone who thrives in a dynamic, fast-paced environment and is passionate about youth sports event operations. This role will primarily serve our summer event season, from May-July, with the potential for further part-time opportunities. 
This position starts at $15/hour and hours per week vary by season, but will likely range from 10-20 hours per week. 

Key Responsibilities
Schedule Management
  • Build, update, and maintain tournament schedules using the Exposure scheduling platform (training provided).
  • Incorporate team registrations, field availability, and division requirements into tournament schedules.
  • Adjust schedules as needed based on team changes, cancellations, weather, or unforeseen circumstances.
Event Support & Communication
  • Be available on-call during tournament weekends to support schedule changes, communicate updates, and troubleshoot issues in real time.
  • Coordinate with event staff, referees, field managers, and operations teams to ensure schedule accuracy and execution.
  • Communicate schedule changes efficiently to internal teams and external stakeholders via email, messaging, and schedule tools.
Documentation & Reporting
  • Track changes, adjustments, and issues during tournament weekends.
  • Provide post-event schedule summaries and insights for continuous improvement.

  • Highly organized with strong attention to detail.

  • Comfortable working independently and managing multiple tasks.
  • Proactive problem-solver who stays calm under pressure.
Experience
  • Experience with scheduling tools, such as Exposure, Excel, or other planning software (preferred but not required).
  • Previous experience in sports scheduling, youth athletics, event operations, or logistics is a plus.
  • Knowledge of Exposure scheduling platform is a bonus but not required.
Availability
  • Flexible availability to work remotely during the week.
  • On-call support required weekends during tournament events.
