This role provides high-level administrative support to both the Senior Vice President of Facilities and the Vice President & General Manager of the Frost Bank Center. The ideal candidate is a proactive, detail-oriented professional with exceptional organizational skills and the ability to manage a dynamic and evolving workload. This individual must be adept at balancing strategic thinking with hands-on execution and demonstrate sound judgment in a fast-paced environment.

Success in this position requires strong communication skills, a collaborative spirit, and a commitment to building and maintaining effective relationships across all levels of the organization. The Executive Assistant will routinely engage with high-profile clients, internal stakeholders, and external partners, and must consistently demonstrate professionalism, discretion, and a high degree of reliability.

What You’ll Do:

  • Provide comprehensive day-to-day support to the SVP of Facilities and VP & General Manager, including calendar management, travel coordination, expense reporting, agenda preparation, meeting facilitation, minute-taking, and follow-up on action items.
  • Proactively anticipate the needs of supported leaders by identifying challenges and opportunities, streamlining operations, and managing routine decisions, inquiries, and requests. Plan ahead for potential obstacles and develop contingency solutions.
  • Serve as the primary point of contact for Venue Operations office needs. Oversee space planning (e.g., seating assignments, décor, breakroom coordination) and ensure timely communication of company policies. Lead the development of team building activities, surprise and delight moments, etc.
  • Support Facilities and Venue Operations projects and cross-functional initiatives. Responsibilities may include contract drafting and tracking, event information compilation, and concert back-of-house execution.
  • Oversee and manage the venue booking calendar in a concise, consistent, and organized manner, including placing holds and routine calendar clean-up in collaboration with our Programming Director.
  • Other duties as assigned by the SVP Facilities and VP & General Manager

Who You Are:

  • Bachelor’s degree and 2–4 years of related experience, or equivalent combination of education and experience.
  • Self-starter with strong initiative and the ability to work independently with minimal supervision.
  • Skilled in producing high-quality reports and documentation with accuracy and attention to detail.
  • Exceptional organizational skills, with the ability to prioritize multiple projects and tasks simultaneously.
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with other business tools is a plus.
  • Proven ability to manage confidential information with discretion and navigate competing demands with professionalism.
  • Excellent written and verbal communication skills, with strong formatting and presentation capabilities.
  • Strong interpersonal and relationship-building skills with a polished and professional demeanor.

Physical Requirements:

  • Willingness to work a flexible schedule, including irregular and extended hours, as needed.
  • Capable of working in an arena or event-based environment.
  • Able to stand and walk for extended periods.
  • Ability to lift/push/pull 30 lbs. on a regular basis.
  • Occasionally bending and kneeling to complete work.
  • Constant finger dexterity required using a computer keyboard to complete tasks.
