The Administrative Assistant is a critical support role providing administrative and operational assistance to the Project Team leading the development of the San Antonio Spurs new arena.
Reporting to the Executive Assistant & External Affairs Liaison and supporting the new arena, this role will provide day-to-day administrative support including travel coordination, expense management, invoicing, scheduling, and logistics for site visits and project-related activities. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced, evolving environment. This individual must maintain confidentiality, demonstrate professionalism, and provide exceptional service to internal and external stakeholders.
What You’ll Do:
- Serve as a central coordination point across internal teams, external partners, and project leadership.
- Support project governance processes, including tracking decisions, actions, and approvals
- Maintain alignment across workstreams (development, design, construction, operations, partnerships)
- Develop agendas, capture clear notes, and track follow-ups to completion
- Ensure consistent, timely communication flows across all stakeholders
- Prepare summaries, briefings, and reporting materials
- Manage centralized project documentation (contracts, drawings, reports, approvals, change logs)
- Assist with tracking project timelines, key milestones, and deliverables across all phases
- Assist with coordinating updates with project managers and partners to ensure schedules remain current
- Facilitate coordination between internal departments (basketball ops, venue ops, partnerships, HR, etc.) and external partners
- Other duties as assigned.
Who You Are:
- Minimum of 5 years of experience in an administrative or project coordination role.
- Experience supporting senior leaders or complex projects preferred.
- Financial acumen related to invoicing and expense management.
- Advanced proficiency in Microsoft Office Suite.
- Strong organizational, prioritization, and time management skills.
- High degree of discretion and professionalism.
- Ability to anticipate needs and operate independently.
- Ability to function effectively in a high-paced, high-visibility environment.
- Availability to work onsite and occasional extended hours as required
Physical Requirements:
- Ability to remain in a stationary position (sitting or standing) for extended periods of time while working at a computer.
- Frequent use of a computer, phone, and other standard office equipment.
- Ability to move throughout office environments, meeting spaces, and arena facilities.
- Occasional walking across large venues or project sites, including uneven surfaces during construction site visits.
- Ability to lift and carry materials up to 15–20 pounds (e.g., files, office supplies, meeting materials).
- Ability to bend, stoop, reach, and grasp to retrieve files or supplies.
- Visual acuity to review documents, spreadsheets, and digital screens.
- Ability to communicate effectively in person, via phone, and via video conferencing.
- Availability to occasionally work extended hours, including early mornings, evenings, or weekends, as project needs arise.
