The Data and Inventory Specialist role is responsible for managing the end-to-end process of invoice receiving, ensuring timely reconciliation, accurate recordkeeping, and coordination with vendors to resolve discrepancies and request credits. The position also supports data integrity across systems by maintaining accurate product, vendor, and recipe information, enabling reliable inventory mapping and operational reporting. The ideal candidate has strong organizational skills, a high attention to detail, and familiarity with food and beverage operations. This role reports to the System Implementation Project Manager and supports Product Category Managers.

Invoice Processing and Cost Control

  • Review and process invoices daily, matching them to corresponding purchase orders and verifying quantities, pricing, and vendor details.

  • Ensure invoices are processed in a timely manner and in accordance with company policies and procedures.

  • Initiate and follow through with vendor credit requests and discrepancies

  • Maintain organized and up-to-date invoice records.

  • Collaborate with operations and other cross-functional teams to streamline invoice processing workflows.

  • Generate reports on invoice metrics and KPI’s to help identify areas of opportunity to reduce costs

  • Identify and reconcile product cost discrepancies or fluctuations.

Master Data Maintenance and Analysis

  • Enter, update, and maintain product and vendor information across inventory management and POS systems

  • Verify accuracy of product information such as product descriptions, barcodes, pack sizes, and pricing.

  • Enter and update recipes for food and beverages, including yield conversions, sub recipes, batch recipes, and menu items.

  • Perform data mapping between the Inventory Management System and POS System to ensure accurate inventory depletion.

  • Monitor and maintain integrity of product and recipe databases to support accurate KPI tracking and reporting.

  • Support data cleanup, organization, and migration projects

About you:

  • Experience in invoice processing, cost controlling, or related field.

  • Skilled in managing large data sets.

  • Excellent attention to detail and accuracy.

  • Proven ability to work independently, prioritize multiple tasks, and consistently meet deadlines.

  • Proficient in Microsoft Excel.

  • Great communication skills and ability to work with cross-functional teams.

  • Experience with Craftable and/or Toast POS a plus.

  • Basic understanding of Food and Beverage operations preferred.

Additional Details:

  • This is a seasonal role intended to last approximately 3 months, depending on business needs.

  • The ideal candidate must have open availability on both weekdays and weekends.

Compensation: $24 per hour
