THE ROLE:
The Seasonal Administrative Coordinator will support Epicenter Week, the Epicenter of Women’s Sports Podcast, and broader RAJ Sports initiatives, with a focus on administrative work, guest coordination, content support, and overall event operations.This role involves organizing event materials, tracking key assets, proofreading messaging, and helping with scheduling logistics. You will also be maintaining and tracking guest lists and RSVPs and assist with guest communications. You will play an active role on-site by assisting with registration, guest coordination, and day-of event needs, while supporting Karina LeBlanc, EVP of Strategic Growth and Development.

THE ROLE:

WHAT YOU’LL BE UP TO:
Guest List Management
- Maintaining master guest list
- Tracking RSVPs, confirmations, and last-minute changes
- Supporting check-in lists and on-site registration accuracy
- Assist with guest communications (drafting emails, mailmerge, canva, etc.)
Light Administrative Support
- Organizing event documents and assets
- Tracking confirmations (shipments, prep materials, bios, headshots, schedules)
- Assisting creating and ensuring accuracy across outward facing messaging (creating drafts, proofread, etc)
- Supporting calendar coordination and logistics as needed
- Update website as needed
- Assist with guest travel accommodations
- Utilize Cvent for event marketing and event management
- Utilize Excel with proficiency
- Occasional creative design support
On-Site Event Support (Epicenter Week)
- Runner support (materials, signage, last-minute needs)
- Registration/check-in assistance
- Guest coordination and hospitality support
- Real-time troubleshooting and escalation support
- Back-of-house operational execution
- Interact professionally with fans, partners, stakeholders and players
- Perform other duties as assigned.
- Post-event duties
WHAT IT TAKES:
- 1+ years of experience in administrative support or special events
- Strong written communication
- Experience or familiarity with email platforms and Canva
- Highly detail-oriented with strong organizational skills
- Solution-oriented with strong people skills
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Eagerness to learn and take initiative
- Currently located in Portland, OR or within driving distance.
