THE ROLE

The Workforce Assistant Manager IVH will be part of the On Location Event Production department. The Workforce Assistant Manager will be supporting the Workforce Manager for the management and coordination of the workforce required to ensure the smooth running of the Olympic Games at the competition venue. He/she will contribute to ensure that all aspects of human resources, including employment contracts, scheduling, accreditation, and other related tasks, are managed efficiently and in compliance with current rules and regulations.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

Dedicated to one competition venue (max. 2), the Workforce Assistant Manager is responsible for supporting the manager on the following topics :

1. Management of employment contracts:

  • Develop, negotiate and finalize employment contracts for temporary staff or contractors, in compliance with labor laws and organizational policies.
  • Monitor contract renewals, extensions and terminations in relation with the approved budget.

2. Workforce planning:

  • Develop effective work schedules for staff, taking into account. operational needs, safety requirements and Olympic Games regulations.
  • Manage schedules, rotations and replacements for unforeseen absences.

3. Accreditations:

  • Coordinate the process of obtaining accreditations for staff, ensuring compliance with security and identification criteria.
  • Ensure the distribution and management of accreditations for the duration of the Olympic Games.

4. Administrative management:

  • Maintain personnel files, including contractual information, personal data, and performance tracking.
  • Billing management.

5. Compliance and regulations:

  • Ensure that all HR operations are conducted in compliance with local, national and international labor laws, as well as the organization's internal policies.
  • Meet HR reporting and compliance needs.

6. Training:

  • Help the Venue Manager in the development of the HSP venue management training program & content.

7. Communication and coordination :

- Work closely with the cluster manager and team managers including logistics, caterers, hostesses ... to ensure effective coordination.

Essential Experience:

  • An experience in large scale sport events preferably in the field of human resources management.
  • Knowledge of local and international labor laws and HR use/rules.
  • Excellent communication, negotiation and time management skills.
  • Proficiency in IT human resources management tools.  
  • Ability to coordinate operational teams composed of direct reports, multiple contractors and services suppliers in delivering high level hospitality programmes.

Experience in working in a multi-cultural organisation and with international stakeholders.

  • Ability to work calmly under pressure and meet multiple deadlines.
  • Meticulous attention to detail.
  • Flexible in a constantly evolving environment with good proactive problem-solving skills.
  • Good project management and time management skills.
  • Good administration and IT skills including Microsoft Office and Cloud based Programmes.
  • Strong verbal and written communications skills.
