Sales administrators provide essential support to the sales team by coordinating details regarding client related tasks such as monitoring client lifecycles for critical contract, invoice and accounting steps.  They will support with items such as entering the sales contract into the sales order system (Optimo). They may also coordinate internal, or client facing meetings, schedule appointments, and manage communication between the sales team and other departments to ensure proper  customer tracking. These sales  administrators will have a special focus on the Stakeholder and Custom Group Sales Channel. 

  • Manage all information relating to client sales accounts during the contracting, invoicing and payment stages to ensure that all teams are maintaining client timelines. 

  • Entering Sales Contracts into Point of Sale and Inventory system (Optimo). 

  • Ensuring the contract is accurately reflected in the system, monitoring product rates, Tax/VAT amounts, payment schedules etc. . 

  • Follow Up with Operations team on missing information, payment schedules, etc. that would prohibit processing of sales orders.

  • Ensuring smooth invoicing process by making sure the contract & invoice is accurate prior to sending to client

  • Ensure accuracy of Customer Master Data in the system and accurate Billing Details in the system. 

  • Coordinating with Finance department for any issues, status on payments.

  • Entering sales orders into Optimo.

  • Perform follow up with Optimo operations team on missing items, payment schedules, etc. Liaison with accounting on invoice timing

  • Ensure accurate customer master data and billing details in Optimo.

  • Coordinate with Accounting/Finance depts. to troubleshoot any issues in the cycle.

  • Provide payment status to sales teams upon inquiry.

  • Partner with dedicated Stakeholder & Custom Groups team to support event finances.

  • Support the Operations team to ensure they have clear and concise information for decision making.

  • Complete weekly ad hoc reports/projects as required

  • Work cross functionaly between departments to maintain accurate information in client records

  • Understanding of Account management and sales lifecycle management  

 

You Have These

  • Ability to manage multiple tasks in a deadline-driven environment while maintaining a high level of precision. 

  • Excellent verbal and written communication skills, experience presenting analyses to management

  • Eagerness to be resourceful

  • Excellent planning & organizational skills to manage multiple projects & deadlines simultaneously; highly organized

  • Process orientated and able to manage and reconcile large data sets in multiple company-wide systems

  • Strong interpersonal skills, a collaborative nature, and a proactive approach to problem-solving; both as an individual contributor as well as a team player

  • High level of attention to detail with respect for working in-line with agreed procedures

  • Strong focus on seeking efficiencies with attention to detail

  • Comfortable working under high pressure in a fast-paced work environment 

  • Advanced Microsoft Office experience, particularly Microsoft Excel

  • Strong experience in accounting, finance & budgeting

  • Bachelor’s degree in Finance, Accounting or a related field, or equivalent experience required

  • Event experience 

  • Accounting/ ERP software knowledge 

  • CRM software knowledge (Salesforce)

  • Enthusiasm for learning and adapting to new tools and technologies. 

  • 1-2 years of relevant, professional experience 

  • Ideal background experience includes but is not limited to consulting, or accounting in the live event/media industry 

 

 

Travel: Travel to operational offices when required. Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays.  International travel may be required. Expected travel may range from 5% annually.
