The role

The Catering Coordinator F&B –will be part of the On Location F&B department. This role will be assisting in the coordination for the project planning, contract management, mobilisation, operational delivery, and demobilisation of catering services for the Official In-Venue Hospitality Programmes (IVH), Off-Venue Hospitality Programmes (OVH) and the Opening Cermonies (CER)  across designated competition venues for the Paris 2024 Olympics and Paralympics.

The Catering Coordinator will be responsible for supporting the F&B department in implementing the catering order procedures in relation with the Order, Finance and Event Production departments, and liaise with all catering suppliers for order and invoicing verification administrative documentation.

During the planning phase, the Catering Coordinator will be also assisting coordinating

one or more catering contracts across multiple venues, while assisting with

development and implementation of the F&B strategy across all competition venues, as well as focusing in on one or more of the specific and specialist planning elements for the overall project.

During the Operational Phase, the role will evolve into an operational role and assisting managing the Catering Operation team at competition venue level with the site venue management of the hospitality catering operations, catering service providers and On Location venue team.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

Procurement and Contract Management:  

  • Assist to set up and implement the catering order and downpayment system in accordance with the order and invoicing timeline agreed with the caterers.
  • Assist to monitor and manage designated set catering budgets to ensure designated F&B Caterers and C&W Service Providers and other suppliers deliver scope within the pre-agreed budget. 
  • Assist with the gathering of knowledge and KPIS stemming from Paris 2024 planning activities and operations.
  • Assist if necessary with finalization of product specifications, food and beverage menu concepts, staffing ratios and all related scope of works by product. 
  • Assist to monitor, coordinate and manage catering Service Provider’s project planning deliverables and other pre-event obligations in line with the master project plan and department risk register. 

Administrative

  • Assist the senior members of the Catering and EPR department in the development and implementation of the catering working documents and deliverables
  • Assist with the development of templates for knowledge management / KPIS related to the F&B orders and operations
  • Liaise with catering supplier for order and invoice communication

Operational Planning: 

  • Work in partnership with the Senior members of the department and the Technical Operations team in FOH and BOH space allocations and planning, infrastructure, utilities and equipment layout design in terms of providing and delivering fully functional catering operational space.  
  • Develop a fundamental understanding of the hospitality products on sale and identify and recommend opportunities to enhance client experience through improved operational delivery.    

Reporting:  

  • Assist to establish efficient order and invoicing reporting and management systems for On Location venue teams related to F&B  and C&W suppliers

REQUIREMENTS

In order to perform this job successfully, the candidate must be able to perform each essential duty above at the highest levels. The requirements listed below are representative of the knowledge, skill, and/or ability required.

You Have These

  • Bachelor's Degree, in Finance, Business, Hospitality Management, Sports Management, or a related field, or equivalent experience required.  MBA in business or hospitality is a plus
  • Minimum of 3 years of experience in controlling / order management, managing food and beverage service sales.
  • Good knowledge of international and localised food and beverage cultures relating to hospitality services at large scale public events.
  • Prior experience with large-scale events in France, a plus.
  • Ability to coordinate operational teams composed of direct reports, multiple contractors and services suppliers in delivering high level hospitality programmes
