What will I Do?
The Executive Assistant is responsible for managing the day-to-day functions, and fulfilling the administrative tasks, of the Executive Vice President (EVP)/Chief Revenue Officer (CRO). The role serves as the strategic gatekeeper for the CRO/EVP; they prioritize requests, protect executive focus time, and ensure alignment with organizational and revenue priorities.
The ideal candidate will be process-oriented, have high attention to detail, and will possess an exceptional organizational skill set. The role will be tasked with performing confidential administrative tasks and providing executive support in a one-on-one working relationship. They serve as the primary point of contact for the EVP/CRO and work closely with them to ensure the EVP/CRO's schedule is followed and respected, and to keep the CRO/EVP informed of upcoming commitments and responsibilities.

- Act as a trusted extension of the CRO/EVP, ensuring all internal and external interactions reflect their tone, priorities, and values
- Serve as strategic gatekeeper for the CRO/EVP by prioritizing requests, protecting executive focus time, and ensuring alignment with organizational and revenue priorities
- Proactively manage and optimize the CRO/EVP’s calendar to balance internal leadership responsibilities, external partnerships, and revenue-generating activities
- Draft and coordinate executive communications, correspondence, and follow-up messaging on behalf of the CRO/EVP
- Exercise absolute confidentiality regarding all business dealings
- Maintain a high level of digital hygiene; recognize phishing attempts or social engineering aimed at gaining access to executive communications or financial data
- Maintain a position of professional neutrality and objectivity when handling internal staff concerns or sensitive organizational changes
- Maintain extreme focus on accuracy and a flawless mentality regarding meeting preparation and executive logistics by building redundancy and checkpoints into processes
- Coordinate recurring revenue leadership meetings, pipeline reviews, and cross-functional planning sessions, including agenda development and materials preparation
- Assist in preparation of executive presentations, ownership updates, and strategic initiatives by organizing information, compiling reports, and ensuring readiness
- Anticipate executive needs and identify opportunities to improve workflow efficiency, communication flow, and organizational effectiveness
- Schedule and arrange department meetings
- Attend meetings of the CROP/EVP as required, following up with any action items assigned
- Plan department events/outings for employees; help cultivate a positive team culture
- Assemble departmental reports and track key metrics for the CRO/EVP
- Assist with special projects and initiatives, ensuring they are completed on time and within scope
- Manage requests coming to the CRO/EVP and handle them accordingly
- Manage calendars and assist staff in securing time for client meetings
- Support teams in ordering, tracking and managing distribution of client gift items
- Collaborate with executives to develop ideas and build compelling presentation decks
- Ensure all presentations are professional, visually appealing, and aligned with company branding
- Coordinate travel arrangements for the CRO/EVP
- Submit expense reports for approval and processing
- Function as a liaison with other department heads and their assistants for communication, problem solving, information sharing, and fostering good working relationships
- Collecting and tracking of necessary receipts for accounting
- Other duties as assigned

- 2 + years experience as an Executive Assistant or Office Manager
- Associate’s or Bachelor’s degree in Business Administration preferred
- Proficiency speaking with clients and professionals on the phone, virtually (text/email, etc.) and in-person
- Friendly and professional demeanor; exceptional customer service skills; both verbal and written
- A proven track record of solving problems before leadership is even aware they exist
- Exceptional attention to detail with the ability to uphold a strict level of confidentiality
- Demonstrable skills in using computers, internet, printers, copiers, and scanners
- Ability to learn new processes, software, and systems quickly
- Strong emotional intelligence to navigate workplace complexities
- Ability to operate in a team as well as independently without direct supervision – proactive, helpful, self-starter
- Demonstrable organizational and time management skills to reach company and executive’s goals
- Advanced skills in Google Suite, Microsoft Office, and Apple products with an ability to become familiar with company-specific programs
- PowerPoint and Digideck proficiency preferred
- Proficiency in collaboration and delegation of duties
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Must be able to pass a pre-employment background and drug screening
