Scheduling Coordinator – Legends Hospitality at Circle Line Cruises

THE VENUE

Legends Hospitality is proud to Partner with Circle Line Cruises, New York’s oldest provider of chartered sightseeing cruises, in delivering a premium hospitality experience to guests. In addition to daily cruises on six sailing vessels throughout the city, Circle Line hosts various special events cruises including a New Year’s Eve and Fourth of July celebration in addition to charters for private parties and events.

   

THE ROLE

The Scheduling Coordinator is responsible for scheduling hourly staff, new hire processing, record, and timekeeping functions. The Scheduling Coordinator position is a part-time hourly position and reports to the General Manager.  

 

PRIMARY RESPONSIBILITIES

  • Responsible for executing scheduling for all hourly staff based on business needs
  • Assist in scheduling interviews and onboarding new team members.
  • Provide accurate and detailed reports to facilitate proper allocation of staffing, time, and resources during events.
  • Connect with the Food & Beverage Managers and General Manager to schedule the appropriate number of staff for each event.
  • Effectively communicate with team members regarding availability changes and time off requests
  • Responsible for communicating all information for a function to the employees to include report time, uniform requirements, and responsibilities.
  • Ensure employees have fulfilled required training and comply with federal and state laws, as well as company and venue policies.
  • Assign Front of House staff to work locations regularly.  
  • Assist in processing new hire paperwork.
  • Explaining all program details, meeting with prospective new employees, and scheduling them for training classes, event days, and other programs as needed.
  • Responsible for the upkeep and maintenance of all employee files.
  • Oversee the efficient use of office supplies and maintenance of office equipment.
  • Complete other clerical duties as assigned by managers.

  

QUALIFICATIONS

  • Prior office experience preferred.
  • Prior scheduling experience for team of 50+
  • College Degree Preferred
  • Strong verbal and written communication skills
  • Must have computer skills: Microsoft Word, Excel, Email Communication
  • Ability to work with minimal supervision.
  • Ability to interface with all levels of the organization.
  • Excellent organizational skills
  • Strong interpersonal skills; can effectively communicate and relate to all levels within and outside the organization; create and build positive and productive relationships.
  • Responds quickly and effectively to changing trends and circumstances; embraces change and welcomes fresh perspectives; learns from past mistakes and adjusts accordingly.
  • Ability to work independently and/or in a team environment.
  • Must be able to occasionally work extended hours due to business requirements including late nights, weekends, and holidays.

  

COMPENSATION 

$24.00/Hourly
