 ILLUMINARIUM EXPERIENCES

The latest addition to our Global Attractions portfolio, Legends has been chosen as the exclusive operator of lluminarium Experiences: cutting edge immersive, experiential entertainment spectacles.  Located in major cities and tourism destinations around the world, these custom-designed venues, or “Illuminariums,” will surround visitors in a sensory experience, using advanced laser projection mapping and sound systems to transport guests to places they may never otherwise visit: the world’s best safari, an expedition to Mars, or even a trip back in time to visit ancient civilizations.  After hours, Illuminariums will transform into unique spaces for corporate and private events, as well as immersive club/bar experiences. As museums are to art, cinemas are to movies, Illuminariums are to experiential entertainment. 

THE ROLE             

The Events Coordinator is primarily responsible for the successful onsite execution of various events including internally produced, private and special events. The coordinator will effectively assist the Event Sales Manager on all Events planning and executing business including interpreting the initial described vision and translating that into a logistics process to produce the experience.  Other key responsibilities include working closely with internal and external teams (Operations, F&B, executives, clients, vendors), client communications in the planning process and day of execution, and reconciling expenses. The Events Coordinator should be a professional, team focused, problem solver, positive individual. The Events Coordinator will report to the Events Manager

 ESSENTIAL FUNCTIONS

  • Event Coordinator participates in all planning of assigned Private and Special Events business as well as internal events initiatives (including, but not limited to, corporate, social, internal and marketing/promotional events).
  • Lead day-of coordination and execution of all events booked at Illuminarium (load-in, set up, execution, and load out).
  • Attend pre-event planning meetings with client and Event Manager to understand the client’s event vision and assist with the creation of logistical plans for all related areas to execute day of execution (F&B, AV, furniture, lighting, run of shows, staffing, signage, technology, floorplans)
  • Assist in the management of billing and payments as they relate to events.
  • Identify and recommend opportunities in which additional Illuminarium services could be provided to the client to enhance and/or compliment their event
  • Analyze client needs and determine event service and equipment providers when outside of Illuminariums abilities.
  • Communicate with event service providers on budget, setup and usage periods of equipment and/or services as well logistics
  • Collaborate with in house Operations and Food & Beverage teams to deliver first-class events.
  • Assist clients with customer-service related inquiries.
  • Conduct on- and off-site visits for existing or repeat clients.
  • Attend and document weekly event meetings.
  • Assist with maintaining an exceptional relationship with our partners.
  • May be required to work extended and non-traditional hours (nights, weekends & holidays as necessary).

QUALIFICATIONS

  • Previous live event experience required
  • Excellent communication and interpersonal skills — diplomatic, tactful, customer-focused with a professional. phone manner and ability to interact with a variety of clients.
  • Able to problem solve quickly and work under pressure
  • Experience working with food and beverage components
  • Able to produce financial documents
  • Proficient in Microsoft Office.
  • Familiarity with TripleSeat and SocialTables platforms a plus.
  • Able to simultaneously manage a high level of detail across multiple projects.
  • Able to work independently and manage time effectively.
  • Able to maintain customer confidentiality and work well within a team environment.
  • Able to balance internal priorities with client expectations.
  • Desire to grow a fruitful career in Events or Entertainment.
  • Must have or able to obtain Nevada TAM card, Southern Nevada Health District food Handlers Card and Clark County Sheriffs card and Serv Safe Manager certification within the first 30 days of employment.
