Nature of Work: 

Under moderate supervision, the position will manage the front office, provide project management, purchasing and serve as clerical and administrative support to the general manager of Aerial Cameras and Aerial Camera division staff. 

 

Examples of work performed: 

  • Engages in day to day support of entity GM through support of daily operations, challenges, schedules, and response to overall business need. 
  • General clerical and administrative duties including but not limited to answering telephones, welcoming guests, filing, shipping equipment as needed, scheduling, managing calendars, coordinating travel, and meeting arrangements, receiving visitors, processing expense reports, supporting accounting functions and arranging conference calls. 
  • Creates, maintains, and organizes electronic and paper files for GM. Performs accurate and timely filing of various materials that may include correspondence, contracts/agreements, invoices, receipts, other records, and documentation. 
  • Assists with special projects, as needed, by providing project coordination, documentation, and clerical support. 
  • Supports GM with Legal, HR, Fiance, Sales and operations duties as assigned 
  • Supports Special projects as directed by GM 
  • Handles various administrative requests from Aerial Cameral staff, as directed by GM. 
  • Analyze, evaluate, and organize office operations and procedures, correspondence, filing systems, reviewing, and approving supply requisitions, assigning, and monitoring clerical functions. 
  • Establishes office standards and procedures for correspondence, style and systematic retention, protection, retrieval, transfer, and disposal of company records. 
  • Provides general office support to include answering the main phone line, reception of visitors, maintains filing system, faxes, and copies, etc. 
  • Provides office support for food, beverages, and overall office organization and readiness 
  • Relays information between all project contacts; prepares project outlines, budgets, progress reports and verifies projects starting and completion times. 
  • Purchasing and entering purchase orders within designated systems in support of aerial camera business. 
  • Responsible for maintaining, ordering, and purchasing of office supplies.

Working Conditions & Physical Demands: 

  • Stand up or sit, up to 1/3 of time.

  • Availability evenings, weekend and holidays as needed GM is responsible for live sporting events and has extensive travel 
  • Talk or hear, use hands to finger, handle or feel, climb, or balance, stoop, kneel, crouch or crawl, and reach with hands and arms, 1/3 to 2/3 of time. 
  • Lift up to 25 lbs. 1/3 of time and lift to 50 lbs. up to 1/3 of time. 
  • Moderate to loud noise. 
  • Distance vision at 20’ or more, ability to identify and distinguish colors, and ability to adjust the eye to bring an object into sharp focus. 
  • Ability for extensive travel 
  • Hectic, fast-paced with multi-level distractions. 
  • Professional, yet casual work environment. 
  • Ability to work extended hours as required. 
  • The Aerial Camera division provides live broadcast television services, which is a high intensity, results-driven industry 


Qualifications: 

  • Minimum 
  1. Generally, requires a minimum of two (2) years of progressively responsible experience in an office environment and administrative support role. 
  2. Required proficiency in Microsoft Office Suite. 
  3. Attention to detail. 
  4. Ability to multi-task in a fast-paced, deadline driven and constantly changing environment is critical. 
  5. Ability and commitment to maintain confidentiality. 
  6. Flexibility to switch gears with little notice. 
  7. Excellent organization skills. 
  8. Ability to prioritize workload, meet deadlines and understand when to escalate potential issues. 
  9. Basic math skills. 
  10. Ability to work extended hours as required. 
  11. Must be internal and external customer focused. 
  12. Strong interpersonal skills with the ability to use tact and diplomacy. 
  13. Team player. 
  14. Ability to learn new tasks quickly. 
  15. Analytical abilities.

  18. Must be able to acquire or produce and maintain valid driver’s license and meet company vehicle driving standards. 
  19. High School degree required 
  20. Applicants must meet minimum qualifications at the time of hire.
