WHO WE’RE LOOKING FOR:
Elevate Creative is looking for a Project Manager, Events to join our Events team, bringing branding and signage to special sporting events (like MLB All-Star Game, NHL Winter Classic, College Football Playoff National Championship, FIFA World Cup). As a Project Manager, you will manage projects from kickoff through onsite delivery, balancing behind-the-desk responsibilities — such as budget tracking, vendor invoice reconciliation, and client billing — with hands-on event preparation, installation oversight, and onsite coordination.

The ideal candidate is highly organized, skilled in managing time, resources, and schedules across multiple simultaneous projects, and adaptable to changing timelines and event conditions. You can work seamlessly with internal teammates — including designers and other project managers — as well as external stakeholders such as vendors, clients, and venue operations teams.

IN THIS ROLE YOU WILL:

● Define project scope, objectives, timelines, and budgets in collaboration with stakeholders to lead projects from kickoff through on-site delivery.
● Oversee production and installation of event graphics, including material selection, proof review, and coordination with vendors to meet brand and quality standards.
● Manage cross-functional teams including coordinators, designers, and vendors, fostering a collaborative, high-performance work environment.
● Serve as the primary liaison for clients, stakeholders and internal teams, maintaining clear communication, managing expectations, and ensuring client satisfaction.
● Build and oversee project budgets, expenses, and invoicing in coordination with the accounting team, for profitability and adherence to financial goals. Reconcile vendors spend against project budgets and manage invoices to optimize for cash on hand.
● Maintain and manage technical specifications of project inventory in a custom database toward accurate artwork delivery, budgeting, and implementation.
● Own the scheduling and resource allocation for design, project management and vendors.
● Update project information in our systems of record (e.g., Airtable, Filemaker, Dropbox)
● Travel up to 25% of the time for onsite meetings, venue assessments, and installation supervision, including during event preparation, installation, and breakdown periods that may occur outside standard business hours.

QUALIFICATIONS:

EXPERIENCE:
● Demonstrated reliability in meeting deadlines, honoring commitments, and following through on deliverables in fast-paced, high-pressure environments.
● 3–5 years of experience in roles related to event production, sports management, account management, or business operations; Bachelor’s degree in Business, Management, or Sports Management is a plus.
● Strong project management and organizational skills with the ability to oversee multiple concurrent projects and priorities.
● Skilled in coordinating event-specific logistics such as load-in schedules, site access, safety compliance, and vendor sequencing to ensure branding and signage (e.g., vinyl wraps, mesh scrim, large-format graphics) are installed on time and within budget.
● Excellent leadership, communication, and interpersonal skills, with experience collaborating across internal teams, clients, and vendors.
● Proficient in project management software and tools (e.g., Airtable, FileMaker, Asana), spreadsheets, and budget management; knowledge of accounts payable/receivable processes is a plus.
● Experience with built environments or familiarity with experiential graphic design is a plus.
● Ability to read, interpret, and work with architectural plans, site maps, and construction documents is a plus.
● Print production experience — working with large-format print vendors, reviewing proofs, and understanding fabrication methods and materials — is valued.
● Project Management Professional (PMP) or similar certification is a plus.
● Comfortable learning and developing new processes, tools, and workflows to improve project outcomes.

SKILLS:

● Communication & Client Management – Excellent written and verbal communication skills; able to clearly convey project needs, timelines, and technical requirements to clients, vendors, and internal teams.
● Financial & Vendor Management – Skilled in tracking profit and loss, managing accounts payable/receivable, and overseeing supplier relationships (credit terms, vendor onboarding, invoicing) to keep projects on budget.
● Attention to Detail – Diligent in quality control for all deliverables, including reviewing large-format proofs, verifying material specs, and ensuring installations meet brand and technical standards.
● Organization & Time Management – Able to prioritize tasks, manage multiple projects at varying stages, and maintain a clear understanding of event schedules, load-in timelines, and fixed deadlines.
● Problem-Solving & Resourcefulness – Adapts quickly to changing circumstances, resolves onsite challenges, and maintains composure under pressure while keeping a positive, solutions-oriented attitude.
● Collaboration & Professionalism – Works effectively with cross-functional teams, demonstrates accountability and emotional intelligence, and incorporates feedback efficiently to improve outcomes.
