Position Overview:
The Executive Assistant serves as a vital strategic support professional, managing and executing administrative and project tasks for two C-Suite Executives within the company. This role involves critical communication and time-sensitive tasks.  Adept project management, strategic thinking, exceptional verbal and written communication, and proactive planning and organization are essential to success in this role. While this position should be based in San Diego for in-person meetings when needed – this role will also support a second C-Suite Executive in Central Time Zone.

Day-to-Day Responsibilities: 

Executive Support & Calendar Management
  • Coordinate meetings with Executives to drive projects and daily responsibilities, ensuring effective communication flow.
  • Manage and balance complex, dynamic calendars with competing priorities.
  • Anticipate scheduling needs and proactively resolve conflicts.
  • Demonstrate exceptional time management skills. 
Communication & Correspondence
  • Act as a proxy for leadership, responding to requests promptly and positively.
  • Serve as primary point of contact for two C-Suite Executives, screening and triaging emails, communications and requests.
  • Maintain confidentiality and handle sensitive information with discretion. 
  • Prepare and arrange time-sensitive and confidential documents.
Meeting Preparation & Support
  • Edit, proof and format documents and presentations (PPT, Excel, Microsoft Office Suite and other tools).
  • Prepare briefing materials, reports and presentations for key meetings.
  • Ensure Executives are fully informed and prepared for all engagements.
  • Capture meeting notes and track action items, ensuring follow-through across teams.
  • Organize and execute special events and large-scale meetings (team meetings, offsites, etc.). 
Cross-Functional Coordination
  • Liaise with senior leaders, department heads and external partners to coordinate key meetings and engagements.  
  • Help manage priorities, deadlines and communications across multiple business functions.
  • Facilitate smooth workflows between the Executives and the broader leadership team. 
  • Understand organizational dynamics and navigate with diplomacy. 
Travel, Operational and Administrative
  • Plan, coordinate and manage complex domestic and international travel itineraries.
  • Oversee expense reporting, budget tracking, vendor management and purchasing for Executives’ department(s). 
  • Anticipate needs and troubleshoot in real time.
Relationship Management and Prioritization
  • Build and maintain relationships internally and externally in support of Executives and leadership team.  
  • Anticipate the needs of the Executives and other leaders wherever possible and identify potential issues and resolutions. 
  • Maintain awareness of ongoing business priorities to anticipate needs.
  • Exercise strong judgement and decision making in ambiguous situations.

  • Bachelor’s degree and at least 4 years’ relevant work experience or an equivalent combination of education and experience supporting multiple/dual C-Suite Executives.   
  • Excellent proficiency in Microsoft and Google suite applications, including Excel/Google Sheets, Outlook, PowerPoint/Google Slides, and Word/Google Docs. 
  • Experience with Docusign, Dropbox, Slack and Zoom would be an added advantage.
  • Experience in or an affinity for the sports or entertainment industry is desirable but not essential.

Working Conditions & Physical Requirements: 
  • Remote (work from home) in San Diego, CA. 
  • Supporting Executives in PST and CST. 
  • Some in-person meetings/travel may be required.
  • Standard business hours are typical, but the role may occasionally require extended hours, work outside of normal business hours or on-call availability aligned with deadlines, travel or organizational events.  
  • This position is primarily sedentary (sitting for long periods of time), although may be required to lift up to 25 pounds for event set-up and/or meeting coordination.

Compensation:
The estimated compensation range for this role is $80,000 to $100,000 annually. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay position within the salary range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs.
