EXECUTIVE ASSISTANT – OVERVIEW: 
The Executive Assistant manages and executes all administrative tasks to effectively support two to three executives within the organization. This position works closely with other support staff to ensure that all Executives can solely focus on their duties. 
 
RESPONSIBILITIES: 
  • Plans, coordinates, and attends meetings with executives. Shares information and captures notes electronically; ensures the appropriate flow of communication. Manages follow-up commitments and action items to ensure objectives are achieved 
  • Ensures timely action by organizing, prioritizing, and addressing multiple work activities and projects. 
  • Works closely with leadership and other Executive Assistants to support the organization. 
  • Develops and maintains relationships internally and externally on behalf of the executives. 
  • Daily calendar management, including discretion over meeting prioritization. 
  • Prioritizes and screens calls, emails, and mail for executives. 
  • Communicates on behalf of executives externally and internally on sensitive and confidential information. 
  • Coordinates all aspects of travel, domestic and international (flights, hotels, ground transportation, reservations); prepares monthly expense reports. 
  • Hosts special guests at all 49ers home games. 
  • Edits, proofs, formats documents, and presentations on behalf of the executive. 
  • Prepares and arranges time-sensitive and confidential documents for executives. 
  • Organize, execute, and assist special events and large-scale meetings (all-hands, off-site, team social events. 
  • Monitors and analyzes relevant data, financial data, and other operational metrics in preparation for management meetings. 
  • Other duties as assigned. 
  • Personable and exhibits executive presence. Comfortable creating relationships with internal and external stakeholders. 
  • Organizational skills with the ability to manage time effectively while balancing and prioritizing multiple or competing tasks. 
  • Ability to focus on a speaker using verbal and non-verbal clues to understand their message, comprehend the information, and respond thoughtfully. 
  • Ability to investigate and analyze problems having a broad administrative impact. 

Education and Experience: 
  • Bachelor’s degree or equivalent degree and at least 8-10 years relevant work experience or an equivalent combination of education and experience. 
  • Sports or entertainment industry experience desirable. 
  • Proficient with Microsoft Suite, including Excel, Outlook, PowerPoint, and Word. 
  • Experience with Adobe Acrobat Pro, Concur, DocuSign, Dropbox, Zoom, Teams, and other video conferencing software. 
  • Experience with Tableau or other data visualization tools is a plus. 

POSITION AND BENEFIT DETAILS:
  • Full Time, Non-Exempt

  • $90,000 - $110,000 year dependent on experience

Travel: 
5% of local travel time is expected for this position. Occasional out-of-state and International travel may be required.
