Reporting to the Event Manager, Space Coast Complex, responsible to support the overall planning, management and execution of events.  Focus on working to create processes for efficient event set up and strike while maintaining inventory.  Partner with event owners / partners / Directors to execute seamless events for our guests
 
Essential Duties:
  • Plan and execute events at Space Coast Complex
  • Develop and execute a Changeover plan for each event 
  • Ensure complex policies and procedures are being met at each event
  • Find ways to enhance the cost experience while maintaining the event budget
 
Responsibilities:
  • Compile and manage facility and event inventory; including event changeover.  Establish process for cleaning, repairing, storing and re-ordering of equipment to support events.
  • Present at meetings to distribute information and discuss upcoming events at the Complex to ensure proper set-up and tear-down procedures and processes are in place.
  • Assist in facility projects and in facility and / or event related contracts for partners.
  • Serve as the event manager for select events and community partnerships through advanced communication with event client to understand event need & goals.  Ensure they know the complex policies and procedures, and are prepared.  Act as the main point of contact for them during, pre and post event.  Monitor event changes on team numbers, rooms, etc. and communicate them effectively and timely to all partners on the event to ensure up to date information is available.  Gather information for recap and execute.
  • Conduct pre - event walk through with key partners, and the event needs are being met onsite throughout the event.  Host and / or attend event pre-comp meetings, and site visits.
  • May be designated as “Duty Manager” during an event to oversee any operational issues that surface. 
 
Requirements:
  • College Degree in Event Management, Hospitality, or related field is preferred.
  • Must be able to take the initiative and be resourceful at times when unexpected situations arise during an event. 
  • Must have a sense of urgency to address situations that require a timely response. 
  • Must have the ability to manage processes and procedures in an organized manner and direct temporary staff and third party vendors in a variety of duties performed. 
  • Must be able to effectively communicate and follow up in a timely manner
  • Must be fluent in Microsoft Word, Excel etc.
 
Physical Requirements:
  • Must be able to lift a minimum of 50 pounds, climb ladders, operate power tools, forklift and scissor lifts as well as drive a golf cart.
  • Must be able to work outside in the elements, especially the heat during the Spring and Summer months for many hours at time. 
  • Ability to accommodate a flexible schedule including evenings, weekends, holidays as well as successfully perform in a fast paced, dynamic work environment.
