The Workforce Coordinator will play a pivotal role in elevating the volunteer experience, ensuring the seamless execution of SafeSport training sessions, assist in managing volunteer inquiries via email, assisting with volunteer placements, and being a front-facing representative during TrackTown USA hosted events.
 
Key Responsibilities: 
  1. Customer Service: Provide a high level of customer service creating an overall positive client experience prior to and during games-time. 
  2. SafeSport Training: Organize and oversee the execution of SafeSport training sessions for volunteers, ensuring all volunteers complete the necessary training. 
  3. Volunteer Inquiries: Serve as a point of contact for volunteer inquiries via phone, email, providing timely information, assistance, and guidance as required. 
  4. Role and Shift Assignments: Assist in the allocation of volunteers to specific roles and shifts, considering their skills, preferences, and event requirements. 
  5. Front-Facing Presence: Represent TrackTown USA during events by actively supporting volunteers, addressing on-site issues, and ensuring a positive volunteer experience. 
  6. Social Media Events: Assist social media accounts to promote volunteer opportunities, organizational events, and engage with the community. 
  7. Volunteer Appreciation Initiatives: Plan and execute volunteer appreciation events to recognize and celebrate the contributions of volunteers to the organization's mission. 
  8. Manage and oversee Workforce Interns and Workforce Go Team! 

Qualifications: 
  • Strong written and oral communication skills. 
  • Detail-oriented and highly organized. 
  • Ability to work independently and collaboratively. 
  • Ability to work accurately and effectively on tight deadlines in a fast-paced environment. 
  • Proficient with using computer applications (e.g. Word, Excel, cloud-based programs). 
  • Evidence of leadership experience or customer service background. 
  • Familiarity with volunteer management and event coordination is a plus.

Time Requirements: Expect to work 8 – 15 hours per week and Games Time hours will increase and vary.

This Coordinator will be expected to be present for the following 2024 events: 
  • The Prefontaine Classic: May 24-25
  •  NCAA Outdoor Track and Field Championships: June 5-8
  • Nike Outdoor Nationals: June 12-15
  •  U.S Olympic Team Trials: June 21-30
