TrackTown USA is the global epicenter of track & field. We produce the sport’s most iconic events at Hayward Field, where world records are broken and the future of the sport is defined.
The Championship Services Coordinator plays a central role in building and sustaining TrackTown’s volunteer program and accreditation system. This position is responsible for managing the volunteer and the accreditation database, leading recruitment and retention efforts, and coordinating all aspects of volunteer operations across TrackTown’s portfolio of events. The Championship Services Coordinator will collaborate with TrackTown staff, event leads, and contracted professionals to ensure seamless volunteer experience from recruitment through event delivery.
Key Responsibilities
Volunteer Recruitment & Retention
Develop and execute strategies to recruit, train, and retain a diverse volunteer workforce.
Build relationships with community groups, schools, and local organizations to expand outreach.
Support Captains and Leads in managing their volunteer teams.
Volunteer and Accreditation Database Management
Maintain and update the accreditation system, volunteer profiles, registrations, uniform orders, shift availability, and assignments our volunteer system.
Ensure data accuracy for compliance, release forms, and reporting.
Generate reports to monitor engagement, participation, and trends.
Event Workforce Coordination
Oversee on-site volunteer operations, including check-in, training, and scheduling.
Plan workforce meals, activities, and recognition efforts to enhance volunteer experience.
Collaborate with event staff to ensure smooth integration of volunteers into event operations.
Qualifications
Bachelor’s degree or equivalent professional experience.
1–3 years of volunteer management or workforce coordination experience, preferably in sports, nonprofits, or events.
Strong computer skills: proficiency in Microsoft Excel required.
Experience with volunteer management software preferred.
Excellent organizational skills with attention to detail and ability to manage multiple priorities in a fast-paced environment.
Strong interpersonal and customer service skills, with the ability to work effectively with volunteers and staff at all levels.
Self-starter with proven ability to lead projects and meet deadlines.
Willingness to work extended hours, including evenings, weekends, and holidays as required for event coverage.
