The New York State Public High School Athletic Association (NYSPHSAA) is a non-profit organization serving over 1,500-member senior and junior high schools and currently sponsoring 38 State Championship Tournaments and 2 Regional Tournaments. The NYSPHSAA serves its members by encouraging pupil participation through its various programs, promoting sportsmanship, promoting proper nutrition and health, maintaining standards of eligibility, and continually seeking data to support rule changes leading to the greater safety of high school athletes.

The NYSPHSAA office is located in Latham, New York in Albany County for access to state government offices. The Capital Region is conveniently located at the crossroads of the Northeast within one hour drive from the Adirondack State Park and parts of New England, and 2.5 hours from New York City.

The mission of New York State Interscholastic athletic programs is to foster the quest for excellence by creating an educational and competitive experience within an atmosphere of sportsmanship. Successful programs develop individuals and teams by promoting high standards of competence, character, civility and citizenship.

POSITION:
The NYSPHSAA Officers and Central Committee are seeking an Operations Coordinator to support the planning, preparation, execution and follow-up of NYSPHSAA State and Regional Championships.

This position is primarily responsible for assisting in coordinating championship logistics, social media, and on-site media operations at State Championship events, as well as producing and distributing Championship Operations Packets, managing event materials, and assisting with operational communications to qualifying schools, coordinators, and host sites.

The Operations Coordinator will work closely with NYSPHSAA staff, sport coordinators, host sites, officials, participating schools, and the media to ensure consistency, accuracy, and efficiency across all championship events.

This is a fully in-person role based at the NYSPHSAA office in Latham, New York, and requires travel, including nights and weekends, to State Championship events held at various locations throughout the state.

MAJOR RESPONSIBILITIES:
  • Manage all social media platforms (Facebook, Twitter, YouTube, etc.) to highlight and promote student-athletes and NYSPHSAA events/programs.
  • Serve as the NYSPHSAA media contact at State Championship events, coordinating credentialed media, assisting with interviews, and ensuring media needs are addressed on site.
  • Provide operational oversight of championship host sites, coordinating with facility staff, officials, media, and volunteers to ensure compliance with NYSPHSAA championship policies.
  • Craft comprehensive Championship Operations Packets for all NYSPHSAA Championships and communicate with qualifying schools. 
  • Management and verification of championship scores, schedules, and brackets in addition to physical bracket boards for awards ceremony. 
  • Prepare and distribute badges, passes, and lanyards.
  • Collect school and VIP gate lists and compile admission binders for events.
  • Assist with maintaining rooming lists for Championship events. 
  • Coordinate hospitality logistics for championships.
  • Develop and manage packing lists and fulfillment of championship materials to host sites.
  • Oversee the procurement and distribution of championship t-shirts, regional and state awards, and digital certificates for all events, ensuring accurate fulfillment and timely reconciliation of materials.
  • Manage championship site Requests for Proposals (RFP) by creating RFP documents, conducting outreach, and collecting submitted bids and documentation. 
  • Travel to and work state championship events, occasionally serving as the sole NYSPHSAA representative on site.
  • Other duties as assigned.

REQUIRED QUALIFICATIONS:
  • Bachelor’s degree in sports management, athletic administration, event management, business administration, education, or a related field. 
  • Experience in event operations, logistics coordination, or athletic administration.
  • Strong proficiency in Microsoft Office and Google applications.
  • High level of organization, attention to detail, and the ability to manage multiple projects simultaneously. 
  • Experience in managing Facebook, Twitter, Instagram, and YouTube.
  • Willingness and ability to travel to State Championship events, including overnight trips, evenings and weekends.

PREFERRED QUALIFICATIONS:
  • Proficiency with Canva and Adobe Creative Suite.

SALARY & BENEFITS:
The salary for this position is established at $62,400 annually and is not subject to negotiation. Excellent benefits including paid vacation, sick days, parental leave, and generous 401k contributions with match.
