Job Description:

California Rodeo, Inc is excited to hire a Facility Administrator Assistant (FAA) for our main office in Salinas, California. The ideal candidate will be English/Spanish bilingual, work well under pressure, have proficient skills in Microsoft Office Suite. The FAA will act an intermediary between their Supervisor, the Board of Directors, staff, the public and others. This role will consist of overseeing the general office duties as well as supporting the Facility Administrator and all areas as necessary.

Duties/Responsibilities:

First point of contact in the office – Greet and welcome guests
Direct visitors to the appropriate person and/or office
Answer, screen and forward incoming phone calls
Receive, sort and distribute mail and deliveries
General Office Support/oversight
Act as personal assistant to the Facility Administrator
- Provide customer service for walk-ins – Show banquet halls, receive payments, etc.
- Assist and process accounts receivables as necessary
- Prepare invoices and monthly statements for distribution
- Assist with Officer and Committee Support
- Assist with updating Committee database and credentials
- Assist with proofreading and editing documents
- Update/manage in-house Directory
- May assist in updating booking calendar
- Assist with organizing office events and meetings
- Assist with Rodeo Special Guest invitations and rsvp’s
- Assist with Vendor applications/payments
- Assist with Track event applications/payments (NCHA Cutting, ICD, NRCHA Horse Show and Mutton Busting)
- Assist with the preparation of Wristbands/Back Numbers for NCHA Cutting, ICD, NRCHA Horse Show and Mutton Busting
- Perform other duties as assigned
Oversee and coordinate office supply inventory management, including kitchen supplies/food
Provide administrative office support and assistance to Marketing, Ticketing and Sponsorship Managers as assigned
Tech Support – May be asked to help with internet, printing, and utility issues, phones, etc.
Maintain office equipment including printers, postage machine, shred bin
Run errands as instructed
Assist with overall office cleanliness
Assist with duties, projects or events as assigned

Key Skills and Abilities Include:

Proficiency with computers utilizing Microsoft Office Suite (Word, Excel, Access, Outlook, Publisher, etc)
Knowledge of QuickBooks is a plus
Requires excellent interpersonal skills between both customers and fellow employees
Excellent organizational skills with the ability to multitask and prioritize tasks effectively
Ability to work and contribute in a team setting
Excellent attention to detail
Exceptional communication skills, both verbal and written
High-level of professionalism
Ability to maintain confidentiality with professionalism
Present professional image to customers through personal appearance
Able to work independently

Key Personal Attributes Include:

English/Spanish Bilingual required
High School Diploma or equivalent
Valid Driver’s License

Pay:

$20-30 per hour, depending on experience

Job Type:

Full-time Hourly (35 hours per week)

Schedule:

M-F 9am-5pm

Extended hours as required
