EVENT TRUST FUND COORDINATOR

POSITION SUMMARY

 The Events Trust Fund Coordinator will serve as the primary liaison for all activities related to the State of Texas Major Events Reimbursement Program (MERP) on behalf of the Houston World Cup Host Committee and the Sports Authority Foundation. This role is responsible for the preparation, submission, and management of all program documentation, reporting, compliance tracking, and stakeholder coordination to ensure the Host Committee maximizes state reimbursements while remaining fully compliant with state requirements.

The Event Trust Fund Coordinator will exhibit a willingness to learn new procedures, specifically, those administrative aspects required by the State of Texas' Major Events Reimbursement Program (MERP) program. Prior experience with MERP administration is not required. This position requires a team player who has the ability and desire to learn and can take on multiple tasks associated with the program with creativity, accuracy, enthusiasm and attention to detail. Guidance and training will be provided that will enable this individual to perform the specific duties listed below.
 
This is a contract position supporting Houston Host Committee activities for the Sports Authority Foundation (SAF).
 

SPECIFIC DUTIES

·       Program Management & Compliance

o   Manage the full lifecycle of the Major Events Reimbursement Program, including application submissions, supporting documentation, and program audits.

o   Ensure compliance with all State of Texas statutes, administrative codes, and reporting requirements.

o   Develop and maintain internal policies, calendars, and tracking systems to ensure timely submissions and accurate reporting.

·       Financial & Data Management

o   Work closely with the finance team to collect, analyze, and reconcile data related to event-related tax receipts and eligible expenditures.

o   Prepare reports and supporting documentation for reimbursement requests.

o   Monitor budgets and forecasts to align Host Committee expenditures with MERP reimbursement guidelines.

·       Stakeholder Engagement

o   Collaborate with legal, finance, and operations teams to ensure all program requirements are met.

o   Coordinate with internal departments and external vendors to gather supporting documentation for submission.

·       Documentation & Reporting

o   Maintain accurate records of all MERP-related submissions, approvals, and reimbursements.

o   Draft correspondence, reports, and presentations for leadership as needed.

o   Support the preparation of post-event economic impact reports and final reconciliations.

 QUALIFICATIONS
•       Education & Experience

o   Bachelor’s degree in Public Administration, Finance, Accounting, Business, Economics, or related field required.
o   Minimum of 3+ years of experience in government relations, grants management, public finance, or large-scale event administration.
o   Experience with government reimbursement programs, compliance, or major event trust funds preferred.
•       Skills & Competencies

o   Strong understanding of financial reporting, reimbursement processes, and compliance requirements.
o   Exceptional attention to detail with the ability to manage large volumes of data and documentation.
o   Excellent organizational and project management skills, with the ability to meet strict deadlines.
o   Strong interpersonal and communication skills for engaging with the Governor’s Office of Economic Development and internal stakeholders.
o   Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and database systems.
