Boston Ski & Sports Club is looking for an energetic, organized, detail-oriented Program Coordinator to help manage and grow our ski and travel programs. This role will work closely with the Ski, Travel & Sponsorship Director on day ski operations, weekend and vacation trips planning/execution, customer service, vendor communication, and program administration.
This is a great opportunity for someone looking to build a career in recreation, travel, ski operations, or program management. An enthusiasm for skiing/riding and exploring new destinations is also a must.
The majority of this role will focus on ski and travel operations. The position may also assist with sponsorship fulfillment and other department needs as assigned, but sponsorship experience is not required.
The schedule includes regular office hours with frequent night and weekend responsibilities during the winter season and occasional events or travel-related obligations throughout the year. BSSC is a long-running adult social sports and travel company serving tens of thousands of participants annually.
Responsibilities
Management of Day Ski Trip Program
- Manage key logistics, including buses, lift tickets, trip leaders, mountain communication, participant counts, weather monitoring, and operational decisions.
- Recruit, train, schedule and oversee large pool of trip leaders.
- Negotiate contracts with bus tour operators, mountain representatives and other vendors.
- Help ensure each trip runs smoothly, efficiently, and profitably.
- Monitor registrations, trip numbers, deadlines, inventory, and customer needs.
Ski & Travel Operations
- Assist with the planning, coordination and execution of BSSC’s travel program (weekend trips and larger group vacations).
- Assist with planning and organizing weekend trips, including hotel blocks, transportation, payments, rooming lists, trip documents, and participant communication.
- Support larger BSSC vacations as needed, including administrative tasks, customer questions, vendor communication, trip leader coordination, and pre-trip materials.
- Communicate with resorts, hotels, transportation companies, vendors, trip leaders, and participants.
- Help manage trip leader scheduling, communication, training, and support.
- Make time-sensitive operational decisions using sound judgment and established BSSC procedures.
- Track trip details, participant lists, payments, invoices, deadlines, and internal notes.
- Assist with payables, receivables, and seasonal profit reporting.
General
- Conduct market research on ski areas, travel destinations, competitors, pricing, and participant trends.
- Provide excellent customer service by phone, email, and in person.
- Maintain a strong working knowledge of BSSC ski trips, travel programs, policies, registration procedures, and customer service standards.
- Assist with special projects, events, and other duties as assigned.
Sponsorship & Department Support
- Assist with sponsorship fulfillment as needed, including coordinating deliverables connected to all BSSC programs.
- Help track sponsor assets, deadlines, event needs, product placement, signage, and proof-of-performance items.
- Support partner communication and internal coordination related to sponsor activations.

Requirements
- Bachelor’s degree preferred, ideally in recreation, hospitality, sports management, business, travel, communications, or a related field.
- 2-4 years of experience in program coordination, travel, hospitality, customer service, recreation, events, operations, or a related role.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a deadline-driven environment.
- Strong customer service skills and a professional, friendly communication style.
- Comfort working with spreadsheets, registration systems, email platforms, and basic office software.
- Ability to work nights and weekends during the winter season.
- Must have reliable transportation for occasional night/weekend visits, meetings, or program needs.
- Ski, snowboard, travel, recreation, or sports industry experience is a plus, but not required.
- Sponsorship or partner fulfillment experience is a plus but not required.
