General Summary
The Office and Logistics Coordinator is the first point of contact for the office and for phone inquiries. This role ensures daily office operations run smoothly while overseeing office logistics, supply management, space coordination, and operational flow. This individual strategically completes all essential tasks, maintains an organized and professional environment, and continually seeks ways to improve efficiency, structure, and execution across the office.

Principal Duties and Responsibilities
Front Desk and Communication:
  1. Handles all office communication from in-person arrivals to over-the-phone interactions.
  2. Greets visitors, vendors, clients, and Team Members professionally and directs them appropriately.
  3. Manages incoming and outgoing calls, emails, mail, and packages.

Office Logistics and Operations:
  1. Oversees office logistics, including supply inventory, ordering, vendor coordination, and service management.
  2. Coordinates deliveries, shipping, returns, and tracking of office materials and equipment.
  3. Maintains calendar for shared office spaces, meeting rooms, and common areas to avoid double bookings.
  4. Assists with workspace setup, desk assignments, and onboarding logistics for new hires.
  5. Tracks office equipment and assets to ensure accountability and operational readiness.
  6. Identifies operational inefficiencies and implements practical improvements.

Administrative and Team Support:
  1. Represents office interests in relationships with external associates, including vendors, clients, and Team Members.
  2. Provides as-needed support to directors and executives.
  3. Fields technical and logistical questions from Team Members. (ABI/Paylo)
  4. Provides scheduling support to venues through team member communications and scheduling coordination with the scheduling dept..
  5. Assists with Setup for New Hire Orientations and Other Trainings as necessary.

Required Experience
Previous administrative, front desk, logistics, or office coordination experience preferred. Experience in a fast-paced operational environment is a plus.

Physical Demands of the Job:
Must be able to move in a quick, energetic manner. Long periods of sitting while on the phone and computer are common. May require occasional lifting of office supplies or packages.

Psychological Demands:
Moderately stressful environment with constantly changing demands and deadlines. Requires adaptability, composure, and strong time management skills.

Working Conditions:
Fast-paced environment. Longer hours or days may be necessary. May be required to work evenings, weekends, and holidays as scheduled.
