SUMMARY:
The Ticket Operations Coordinator is primarily responsible for assisting the Phantoms Ticket Sales Department, as well as the PPL Center Box Office. The Ticket Operations Coordinator will be involved in all aspects of ticketing and box office customer service for events. The following constitutes a preliminary list of the primary functions of this position.
 
 TICKET OPERATIONS COORDINATOR
  • Coordinate the creation of events in Paciolan (including but not limited to season plans, partial plans, single game events and non hockey events). 
  • Assist in assignment and management of accounts within Paciolan
  • Work Phantoms AHL hockey events at PPL Center
  • Work most PPL Center events that may include concerts, family shows, or other sporting events
  • Ensure accurate event creation in regard to days, dates, times and opponents 
  • Set up price codes, discount qualifiers and fees as necessary throughout the season to support various sales and marketing initiatives 
  • Assist with relocation efforts and inventory management for new sales of full season and partial plans 
  • Generate ticket print files and data files as needed for mailings throughout the year 
  • Assist with the daily processing of payments and credits for season tickets and group sales and monitor unpaid accounts as well as unsold seats so that inventory may be released on a timely basis 
  • Research, resolve & respond to payment problems, delinquent account issues, credit card inquiries and charge backs 
  • Manage the distribution of tickets for season ticket plans and group sales via mail and those held for pick up at the PPL Center Box Office 
  • Support sales & service staff during renewal and new sales efforts (invoice printing, account setup and report generation) 
  • Help establish and enforce payment processing timelines 
  • Provide monthly, weekly and or daily reports regarding sales and attendance, etc. as necessary
  • Create reports for Finance, Ticket Sales and Marketing departments through Paciolan
  • Ensure price code compliance and accuracy so that sales reports and game audits are accurate 
  • Resolve issues/errors concerning printing, account manager and online purchases 
  • Import new lead lists into the database and assist with merging and deleting duplicate accounts
  • Help update accounts with account representative name, demographic information and sales qualifiers 
  • Perform all Box Office Director duties in the absence of the Box Office Director. 
  • Assist Lead Supervisor with part-time staff management, including hiring, training and scheduling
  • Assist Box office director in daily and monthly sales reconciliations as well as event settlements
  • Assist in the maintenance of marketing/trade/comp policies for all events. 

 QUALIFICATIONS 
To perform this job successfully, an individual must have previous and successful experience in the above mentioned duties. The requirements listed below are representative of the knowledge, skill, and/or ability required: 
  • Bachelors degree in business or marketing related field 
  • 2-3 years of Ticket Operations or Box Office Operations experience
  • Paciolan ticket system experience preferred 
  • At least 1 year experience supervising staff preferred
