Seasonal: Retail & E-Commerce Coordinator

Pensacola Ice Flyers - Entry Level
Pensacola · FL
Retail Management · Retail Store Management · Retail Sales Associate
Seasonal position, mid September to mid May

Position Overview

The Retail and E-commerce Coordinator is the hands on execution seat inside the merchandise department. This is a seasonal role running from mid September through mid May, covering preseason prep, the full home schedule, and postseason resets. The role adds hands on capacity to arena retail, gameday point of sale, the Shopify storefront, and the stockroom, day to day and game to game, working alongside the Director of Merchandising, who stays on the floor and close to the operation. This person is on the floor, in the storefront, and in the counts, not managing from a distance.

The Retail and E-commerce Coordinator reports to the Director of Merchandising and works closely with gameday retail staff, the creative team, and the sales team to make sure the right product is in the right place, priced correctly, and ready to sell. It is the seat that turns the merchandise plan into a well run operation every home game and every online order.

Core Responsibilities

Gameday Retail and Point of Sale

Gameday retail is the engine of the merchandise business and the large majority of merchandise revenue. This role runs it on the floor.

·       Set up, stock, and staff gameday retail locations, confirming every point of sale is priced and ready before doors open.

·       Run point of sale during the game, keep lines moving, and keep displays full and organized through all three periods.

·       Lead post game resets, counts, and reconciliation so every gameday closes clean.

·       Maintain professional, fan focused retail spaces that reflect the brand standard.

E-commerce and Shopify Fulfillment

·       Pick, pack, and ship online orders through the Shopify storefront and keep fulfillment turnaround fast.

·       Respond to online order and customer service questions within the team's response standard.

·       Keep product listings, photos, sizes, and stock counts accurate and current.

·       Support online exclusives, presales, and drops with prep, packing, and shipping.

Inventory and Stockroom

·       Keep the stockroom organized, labeled, and audit ready across all locations.

·       Run regular counts, restocks, and replenishment so shelves and point of sale never run dry on gameday.

·       Receive and check in new product against orders, flag discrepancies, and help control shrink.

·       Keep merchandise cleanly separated from ticketing, fundraising, and fee items so product reporting stays accurate.

Specialty and Fundraising Support

·       Prepare specialty and collectible inventory for sale, including signed memorabilia, specialty jerseys, and limited edition products.

·       Coordinate merchandise for auctions, raffles, and fundraising, including jersey auctions tied to theme nights.

·       Support events, sponsor activations, and community appearances with the right product in the right place.

Reporting Support

·       Capture gameday sell through, point of sale totals, and online order counts, and hand clean numbers to the Director of Merchandising for the weekly rundown.

·       Flag low stock and reorder needs ahead of the next three home games.

·       Keep merchandise records, invoices, and operational notes organized enough that another team member could step in and find anything.

Cross Department Collaboration

·       Partner with the Director of Brand and Creative on retail launches, product photography, and store presentation tied to campaigns and theme nights.

·       Coordinate with the Group Sales and Game Presentation Manager on gameday timing, promotions, and in bowl activations that touch retail.

·       Support the Director of Sales on season ticket holder merchandise and premium gifting.

Qualifications

·       Experience in retail operations, merchandise, or e-commerce, ideally in sports or entertainment.

·       Comfortable running point of sale and Shopify or a comparable platform.

·       Organized, reliable, and detail focused with inventory and counts.

·       Confident working gameday retail in a live, fast moving environment.

·       Strong customer service and communication skills.

·       Available to work the full seasonal term, including nights, weekends, and holidays through the home schedule.

·       Able to lift and move merchandise inventory as needed.

Preferred Experience

·       Sports or entertainment retail and gameday merchandise operations

·       Shopify or comparable e-commerce platform and fulfillment

·       Inventory counts, receiving, and stockroom organization

·       Specialty, collectible, and fundraising merchandise programs

·       Event and promotion support

Performance Metrics

Success in this role will be measured by:

·       Online fulfillment speed and customer service quality

·       Inventory accuracy, count results, and shrink control
